We are seeking a highly organized and detail-oriented Virtual Assistant to join our team. The ideal candidate will play a vital role in coordinating with clients and managing ticketing systems and/or projects. This position requires EXCELLENT communication skills, time management, and the ability to handle multiple tasks simultaneously while maintaining high-quality standards.

Key Responsibilities:
1. Client Coordination
- Communicate with end users to discuss the scope of work, secure a schedule, and ensure timely completion of tasks.
- Liaise with clients to discuss the scope of work, changes, or updates to projects/tasks.
2. Ticket Management
- Create tickets in various ticketing portals and ensure all details are accurately recorded.
- Assign technicians (external portal) to complete tickets or work orders from clients.
- Oversee ticket progress to ensure timely completion.
- Document all steps taken, issues encountered, next steps, and all photos from the project/ticket.
- Manage dashboards to maintain up-to-date statuses and documentation.
3. Project Coordination
- Ensure ALL project trackers are updated with the latest information. (including photos)
- Monitor project completion and ensure comprehensive documentation is maintained.
4. Reports
- Prepare and send an end-of-week report (s) to clients summarizing the project progress.
5. Support Calls
- Handle support calls to facilitate ticket creation efficiently and accurately.
QUALIFICATIONS
1. Proven experience as a Virtual Assistant or in a similar coordination/administrative role.
2. Strong communication skills, both written and verbal.
3. Proficiency in using ticketing systems (ZOHO DESK), project management tools, and Google Workspace.
4. Exceptional ORGANIZATIONAL SKILLS and attention to detail.
5. Ability to MULTITASK, prioritize, and meet deadlines.
6. Tech-savvy and comfortable learning new tools and platforms.
7. Experience in client-facing roles is a plus.
