Job Overview:
As an Executive Assistant, you will work directly with Matt, helping to “buy back” their time by handling administrative tasks, project coordination, and day-to-day business operations. This role is designed to enable the executive to focus on high-value strategic activities by delegating time-consuming tasks. You’ll be instrumental in building systems and processes that enhance efficiency and support business growth.
This position is ideal for someone who is highly organized, proactive, and capable of managing multiple responsibilities while anticipating the needs of the executive and the business.
Key Responsibilities:
Task Delegation & Time Management: Manage the executive’s calendar, prioritize meetings, and organize tasks to ensure that time is spent on the most impactful activities.
Inbox & Communication Management: Monitor and manage the executive’s inbox, including drafting
Project Coordination: Oversee project timelines, delegate tasks to the appropriate tea
System Creation & Optimization: Assist in creating and improving operational systems and processes that will enhance productivity and efficiency across the business.
Team & Contractor Liaison: Communicate with vendors, contractors, and other external partners, handling negotiations, contracts, and ensuring project requirements are met.
Administrative Support: Handle day-to-day administrative tasks, such as expense tracking, travel arrangements, and filing.
Reporting & Documentation: Prepare reports, meeting notes, and presentations for the executive, ensuring that all relevant information is easily accessible.
Personal Assistance: Assist with personal errands, travel arrangements, and other tasks that allow the executive to focus on high-level business priorities.
Qualifications:
Proven experience as an Executive Assistant or similar role in a fast-paced business environment.
Exceptional organizational skills with the ability to prioritize and multitask effectively.
Strong written and verbal communication skills.
Ability to work independently, anticipate needs, and solve problems proactively.
Proficiency with project management tools and software (e.g., Asana, What's App, Slack, etc.).
Knowledge of calendar management, travel planning, and inbox management.
Comfort in managing both personal and professional tasks for the executive and using discretion with the information you have access to.
Familiarity with process automation, delegation strategies, and system optimization as outlined in Buy Back Your Time by Dan Martell is a plus.
