We are seeking a highly organized and detail-oriented Executive Assistant to support our leadership team. This role requires excellent communication skills, efficiency in handling administrative tasks, and the ability to work independently during the night shift. The ideal candidate will be responsible for managing invoices, coordinating communication channels, and ensuring smooth documentation processes.
Key Responsibilities:
Invoice Management & Documentation
Create and draft invoices using Zoho Invoice.
Ensure accuracy in invoicing and timely submission.
Maintain and organize invoice records for easy retrieval.
Communication & Customer Support
Use RingBlaze to send SMS notifications to customers.
Manage real-time chat support through Tidio, ensuring quick responses between admins and customers.
Serve as a key communication link between the executive team and clients.
Utilize MS Teams for internal communication with the CEO, COO, and other tea
Task Coordination & Reporting
Prepare End-of-Day (EOD) Reports, summarizing completed tasks and pending items.
Use Google Forms for documentation and data collection as required.
Coordinate closely with the COO and CEO, ensuring all assigned tasks are completed efficiently.
Add and manage SMS notification tasks as needed.
Qualifications & Skills:
Prior experience as an Executive Assistant or in an Administrative role is preferred.
Proficiency in Zoho Invoice, RingBlaze, Tidio, MS Teams, and Google Forms.
Strong organizational skills with the ability to multitask effectively.
Excellent written and verbal communication skills.
