Job Summary:
We are seeking a skilled and proactive Remote Virtual Assistant to support a CEO with a variety of administrative and operational tasks. The ideal candidate will have experience in calendar management (Google Calendar, Calendly), email management (Kajabi), customer service, automation (Zapier), community engagement (through the CRM), project management (Slack, etc.), research, and data entry. This role involves assisting with multiple businesses and stakeholders, ensuring smooth and efficient operations. A verifiable portfolio detailing prior work is required. Candidates must submit a resume, portfolio with work samples, three references from business owners in the USA, and a short video explaining why they should be chosen for this role and detailing any relevant experience. Please include a link to your video introduction in your application. Must have some availability during 10am until 1/2pm USA Eastern Time Zone, Monday through Thursday.

Key Responsibilities:

• Calendar Management: Coordinate and manage schedules, appointments, and meetings using Google Calendar and Calendly.
Email Management: Monitor and manage email accounts via Kajabi, respond to inquiries, and maintain organized inboxes.
• Customer Service: Provide excellent customer service through client phone calls, interviews, and emails. Address client inquiries and ensure a positive experience.
• Automation: Implement and manage automation tools using Zapier to streamline tasks and improve efficiency.
• Community Engagement: Engage with the community through the CRM, fostering positive relationships and addressing any issues or questions.
• Project Management: Assist in planning, coordinating, and managing projects using tools like Slack to ensure they are completed on time and within scope.
• Administrative Tasks: Perform various administrative tasks, including document preparation, filing, and data organization.
• Research: Conduct research on various topics as needed, providing detailed and accurate information.
• Data Entry: Accurately enter and update data in relevant systems and databases.

Qualifications:

• Proven experience as a virtual assistant or in a similar administrative role.
• Verifiable portfolio detailing prior work.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Proficiency in using Google Calendar and Calendly for calendar management.
• Experience with email management tools, specifically Kajabi.
• Customer service experience, including phone calls and emails.
• Familiarity with automation tools such as Zapier.
• Experience with CRM systems and community engagement.
• Strong project management skills with experience using tools like Slack.
• Attention to detail and a commitment to accuracy.
• Proficiency in Microsoft Office Suite and Google Workspace.
• Ability to work independently and as part of a team.
•Some availability in U.S. Eastern Time Zone between 10:00 a.m. and 1p.m. and/or 6:00 p.m - 9p.m., with flexibility for some tasks.

Preferred Qualifications:
• Experience with additional project management tools.
• Familiarity with data entry and database management.
• Basic knowledge of research methodologies and data analysis.
