We’re looking for a smart, dependable, and organized Virtual Assistant to join our team and help with the day-to-day operations of our dietitian clinic. This role will focus on providing administrative and client support, managing schedules, and ensuring things run smoothly behind the scenes. We need someone who is detail-oriented, good at communication, and comfortable working independently.
Time zone: Toronto, GMT-5.
What You’ll Do:
Invoicing and Payments
• Send invoices and receipts to clients after sessions or package purchases.
• Reply to client
• Follow up with payment reminders to ensure all balances are paid on time.
• Keep track of outstanding invoices and alert the team if follow-up is needed.
CRM and Operations
• Update and maintain client information in our CRM (we use Practice Better).
• Keep track of dietitian schedules and make sure everything stays organized.
• Input data related to client sessions, retention, or progress.
• Order seasonal referral bonuses to clients when applicable.
Administrative Support
• Keep calendars up-to-date and ensure appointments are scheduled without conflicts.
• Write draft
• Keep files and documents organized and easy to access.
Client Support
• Assist new clients by helping them with learn the Practice Better platform.
• Track client sessions and ensure they have everything they need to stay on track.
