We are looking for a highly organized and dependable Virtual Assistant Manager to oversee and coordinate a team of virtual assistants (VAs). The successful candidate will be responsible for managing the hiring process, monitoring the quality of work, and ensuring that all virtual assistants complete their tasks efficiently. This role requires excellent communication skills to interact directly with clients and relay important information to the team.
Key Responsibilities:
VA Management:
Oversee and manage a team of virtual assistants.
Hire and train new VAs to meet specific job requirements.
Monitor the performance of VAs, ensuring deadlines are met and tasks are completed to a high standard.
Provide regular feedback to VAs and implement performance improvement strategies when necessary.
Quality Assurance:
Ensure that the work completed by VAs meets the expected quality and accuracy standards.
Conduct regular audits to check the quality of tasks, such as job applications sent, and provide corrective actions where necessary.
Client Communication:
Act as the primary point of contact for clients, addressing their questions and concerns.
Effectively communicate the client’s requirements and expectations to the virtual assistants.
Ensure that clients are kept informed about the progress of tasks and any issues that arise.
Task Coordination:
Assign daily tasks to virtual assistants and ensure that all tasks are completed within the given time frame.
Coordinate between the client and the VAs, ensuring that information flows smoothly and accurately.
Reporting:
Regularly report on team performance, job application status, and quality metrics to the client.
Prepare reports on the work completed by the virtual assistants, including feedback and areas for improvement.
Qualifications:
Proven experience as a Virtual Assistant or Virtual Assistant Manager.
Strong leadership and team management skills.
Excellent verbal and written communication skills.
Ability to multitask and manage multiple VAs simultaneously.
Highly organized, reliable, and detail-oriented.
Ability to work independently with minimal supervision.
Familiarity with project management tools (e.g., Trello, Asana, Slack, etc.) is a plus.
Preferred Skills:
Experience working with job application processes or administrative tasks.
Knowledge of quality assurance practices.
