JOB OVERVIEW

We are seeking a Virtual Assistant to join our team! You will provide high-level administrative support for Marketing & Operations at our company – Exit Strategy Advisors d/b/a Sunbelt Dallas Metro.
Responsibilities:
• Handle administrative needs of the Managing Director and Business Brokers/Advisors in the Office.
• Strong data entry skills
• Good computer skills and working knowledge of MS Office programs (Word, Excel, PowerPoint, and others)
• Assist with Operations software including CRM software – Tupelo CRM.
• Assist with the development of policies and procedures for mergers & acquisitions firm.
• Ability to discreetly handle sensitive and confidential information.
• Create and Maintain Listing Folders online – Tupelo CRM and online storage (One Drive).
• Ensuring that Brokers are preparing Due Diligence checklists.
• Entry of buyer information and buyer prospect information into Tupelo CRM.
• Entry of seller information and seller prospect information into Tupelo CRM.
• Possibly working with Go High Level CRM as another CRM software solution for Exit Strategy Advisors.
• Enter Internet listing marketing website data:
o New Listings
o Price Changes and Updates
o Listing Removals
• Maintain Files online – BizBuySell, Sunbelt Dallas Metro, and Exit Strategy Advisors:
o Listings
o Inactive/Sold Listings
o Broker personnel files
• Maintain Collateral Materials and Forms online:
o Marketing materials
o Buyer and Seller Packets
• Maintain Original Document Folders online:
o Confidentiality Agreement
o LOI Agreement
o Purchase Agreement
o Office Templates for Sunbelt Dallas Metro
o Office Templates for Exit Strategy Advisors
o Ability to manage databases and compare databases
o Others
• Assist Brokers in preparing information required by Escrow Agent for Closings.
• Run various Lists from Company databases:
o Reference USA
o Private Equity Info
o Inven or ZoomInfo or similar
o Others
• Make Travel Arrangements as needed.
• Miscellaneous assistance as needed by Managing Director.
• Assist in the production of advertising, marketing brochures, sales kits or other promotional materials.
• Maintain and update client database as needed.
• Maintain monthly newsletter using Mailchimp.
• Assist in the creation of Social Media content for postings on the various platforms.
• Manage Social Media sites like Facebook, Twitter, Instagram, LinkedIn, Twitter, etc.
• Maintain a professional image and adhere to standards consistent with company policies and procedures.
• Maintain and uphold the brand’s integrity and online presence.
• Manage contents of drip campaigns and process Leads into appropriate campaigns.
• Adhere to the Company’s Mission, Vision, and Values.
• Other duties as assigned by Bill Nicholson or other office Brokers/Advisors.
Qualifications:
• Previous experience as an executive secretary, administrative assistant, or in related fields.
• Strong organizational skills.
• Ability to prioritize and multitask.
• Effective analytical skills.
• Customer Service Focus (internal and external).
• Strong attention to detail.
• Good writing skills for content development.
• Works well under pressure.
• Ability to meet deadlines.
