JOB OVERVIEW

Virtual Assistant (Phone/Customer Service and Admin) 4 PM - 12 AM CST, Monday-Friday
Join Budget Heating, Cooling & Plumbing and make a meaningful impact as a critical part of our remote team. We are a trusted home services company specializing in HVAC and plumbing solutions for residential customers in Saint Louis, Missouri.
This full-time position offers consistent hours, weekends off, and the opportunity to grow with a team that values long-term dedication and excellence.

Key Responsibilities
Customer Service
• Answer incoming calls and book service appointments using HouseCall Pro.
• Respond promptly to voicemails, HousecallPro chats, and follow up with customers as needed.
• Maintain clear and concise communication with customers to ensure a positive experience.
• Monitor and respond to company emails promptly to ensure smooth communication.
• Use company tools like Microsoft Teams and Office Suite to collaborate and manage tasks effectively.

Data Entry & Reporting
• Ensure job details and schedules are accurate and up-to-date in HouseCallPro
• Review invoices and payments, addressing any discrepancies to ensure accurate billing via HouseCallPro.
• Generate daily reports, including:
o Leadership Report: Summarizing job statuses, completions, and outstanding tasks.
o Sales Report: Tracking completed jobs, collected payments, and any unbilled amounts via HouseCallPro.

General Manager Support
• Assist the General Manager with administrative tasks, such as:
o Preparing quarterly and ad-hoc reports.
o Handling internal communication through email and Microsoft Teams.

What We’re Looking For
Experience:
• Customer service, dispatching, or administrative support experience preferred.
• Familiarity with scheduling or CRM software like HouseCall Pro is a plus.

Skills & Requirements:
• Clear, fluent, and professional English communication skills (written and verbal).
• Exceptional organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite and Microsoft Teams.
• Ability to think critically, adapt to changing priorities, and work independently in a remote environment.

Additional Requirements:
• Backup Power and Internet: Candidates must have reliable backup systems to minimize disruptions.
• Dependability: Consistently shows up to work on time without issues and remains committed to long-term employment.

Availability:
• Full-time availability, Monday-Friday, 4 PM - 12 AM CST. (This may be flexible)
