We’re looking for a tech-savvy Virtual Assistant who’s passionate about marketing automation, creative tools, and efficiency.
Role Overview:
As a Virtual Assistant at our agency, you will play a crucial role in supporting our team and clients by managing tools, processes, and communications. You’ll assist with marketing automation workflows, manage client projects, and streamline operations using platforms like Go High Level, Zapier, Notion, Typeform, and ManyChat. This role requires someone who is organized, detail-oriented, a quick learner, and comfortable working in a fast-paced, creative environment.
Key Responsibilities:
Marketing Automation Support:
Build, manage, and optimize workflows and campaigns in Go High Level.
Integrate tools and automate processes using Zapier.
Troubleshoot and maintain smooth automation between tools.
Project Management & Organization:
Manage and organize agency projects, tasks, and team communications in Notion.
Create and update client-facing project boards, workflows, and deliverables.
Track deadlines and ensure timely completion of tasks.
Form Management & Chatbots:
Design and maintain forms in Typeform for surveys, lead captures, and feedback collection.
Set up and manage chat flows in ManyChat for engaging customer interactions and lead nurturing.
Administrative Tasks:
Assist with client communication, including scheduling meetings and following up on tasks.
Manage team calendars and ensure meetings are properly coordinated.
Handle
Creative Support:
Collaborate with the team to prepare reports, organize content, and gather insights from tools.
Provide hands-on assistance with creative marketing campaigns and client deliverables.
Required Skills and Experience:
Tech Skills:
Proficient with Go High Level, Zapier, Notion, Typeform, and ManyChat.
Comfortable learning new tools and platforms quickly.
Marketing Knowledge:
Familiarity with marketing campaigns, automation processes, and lead generation tools.
Understanding of workflows and how to create seamless processes between tools.
Organizational Skills:
Exceptional attention to detail and ability to manage multiple tasks and deadlines.
Experience managing tasks in Notion or other project management tools.
Communication Skills:
Strong written and verbal communication skills.
Professional and responsive in client communications.
Preferred Qualifications:
Previous experience in a creative or marketing agency environment.
Experience with customer support tools and basic CRM management.
Basic design skills (e.g., Canva, or Adobe tools) are a bonus.
