We are looking for a detail-oriented, organized, and proactive Transaction Coordinator to join our growing real estate team in Southern California. This role is crucial to ensuring smooth, efficient transactions from contract to close. The ideal candidate will have strong communication skills, enjoy working with a team, and be knowledgeable about real estate contracts and compliance.
As the lead in-office Transaction Coordinator, you will also oversee and manage our team of 4 remote (VA) transaction coordinators, ensuring accuracy and efficiency in processing all transactions. This role requires direct interaction with agents, clients, escrow, title companies, and lenders to ensure seamless communication and compliance throughout the transaction process.
Key Responsibilities:
- Document Management – Organize, review, and verify contracts, disclosures, and addendums to ensure compliance.
- Deadline Tracking – Monitor key transaction dates, such as contingency removals, inspections, and closing timelines.
- Agent Support – Be the go-to resource for agents regarding contracts, compliance, and transaction-related questions.
- Communication Hub – Act as the liaison between agents, clients, escrow officers, lenders, and title companies.
- Compliance & File Audits – Ensure all documents meet brokerage and legal standards before submission.
- Closing Coordination – Oversee and facilitate the closing process, ensuring all necessary steps are completed in a timely manner.
- VA Team Oversight – Manage and supervise our team of 4 remote transaction coordinators to ensure consistency and accuracy in transaction processing.
Qualifications & Skills:
- Experience as a Transaction Coordinator in a real estate office.
- Strong understanding of real estate contracts, disclosures, and transaction processes in California.
- Excellent communication skills – must be comfortable speaking directly with agents and answering their inquiries.
- Highly organized with strong attention to detail and deadline management.
- Ability to multi-task and work efficiently in a fast-paced environment.
- Proficiency with transaction management software and tools, including MLS, CRM platforms, DocuSign, and more.
- Must live near Sherman Oaks, CA for in-office work.
