JOB OVERVIEW

**Job Purpose:**

To serve as a key leadership role within our agency managing client projects, providing executive support to the founder, and overseeing account relationships. This position will help drive operational excellence while ensuring successful delivery of our services across coworking space clients.

All teaUpgrade to see actual infombers provide essential operational, administrative, and strategic support for coworking spaces. As a contractor with our team, you will handle a variety of tasks across different domains such as member management, sales, systems implementation, web tech, no-code automations, content marketing, bookkeeping, and more, contributing to the seamless running of our clients' coworking spaces.

### **Duties and Responsibilities:**

**Project Management (40%)**

- Lead and coordinate multiple client projects across our service lines
- Manage the project pipeline and resource allocation
- Develop and maintain project timelines, budgets, and deliverables
- Create and optimize SOPs for project delivery
- Monitor project profitability and team utilization
- Coordinate with vendors and maintain vendor relationships

**Executive Support (30%)**

- Provide high-level support to the founder, Abigail
- Manage calendar, emails, and communications
- Coordinate team scheduling and management
- Support strategic initiatives and special projects
- Help maintain and evolve "The Savvy Way" handbook
- Assist with business development and growth initiatives

**Account Management (30%)**

- Serve as the primary point of contact for key client accounts
- Manage client relationships and ensure satisfaction
- Oversee client onboarding and success processes
- Monitor account health and identify expansion opportunities
- Coordinate with delivery teams to ensure service quality
- Manage client communications and expectations

### **Required Skills & Experience:**

- 3+ years of project management experience
- 2+ years of executive assistant or similar experience
- Proven track record of managing multiple priorities and projects
- Exceptional attention to detail with strong quality control mindset
- Strong communication and relationship-building abilities
- Experience with project management and productivity tools
- Excellent organization and time management skills
- Ability to think strategically while managing tactical details

### **Preferred Qualifications:**

- Strong proficiency with Asana for project and team management
- Experience in digital agencies or similar service-based companies
- Familiarity with common coworking technologies (OfficeRND, ActiveCampaign)
- Experience with Notion, Slack, and other collaboration tools
- Background in client services or account management
- Understanding of automation and technical implementations

**Working Arrangement:**
This is a fully remote, contract-based role with flexible hours based on client needs. This position is full-time (30+ hours/week). Flexible schedule with core hours alignment for client and team coordination (especially in the PST time zone).
