Hi there! We are seeking an action-taking, part-time virtual assistant with a growth mindset to support our company’, Liz Caskey Culinary & Wine Experiences in international travel to ensure all logistics run smoothly and effectively in order to exceed our clients’ expectations.
You will assist with administrative & operational tasks following our SOP and creating new systems as needed for our business while supporting our vendors and customers, bookkeeping, scheduling, and project management. This is a diverse role wearing many hats and the perfect candidate will have a passion for managing multiple tasks simultaneously.
Based on performance and ROI for the company, this could grow into a larger role in the organization.
REQUIREMENTS:
-MUST BE A SELF-STARTER & HAVE A GROWTH MINDSET: We are looking for someone who takes the initiative to not only delivery tasks, yet figure out how to do them faster/better/more efficiently and how he/she can go above and beyond what is asked and how this can create more revenue & profit for the business to grow.
-Proven experience as a Virtual Assistant or relevant role in Operations or Event Planning. Experience in event management, hospitality or travel is a plus.
-Experience with word-processing software and spreadsheets (e.g. MS Office, Google Suite)
-Familiarity with project management tools like Asana or Click-Up
-Experience online calendars and scheduling (e.g. Google Calendar)
-Able and willing to learn new tech platforms necessary to operate our business quickly and efficiently
-Familiarity with social media platforms. Social media skillset to help us upload content a critical part of the

ABOUT THE POSITION:
Here are some of the on-going tasks and responsibilities:
-Document all administrative procedures & then follow those procedures (if not already in the SOP manual)
-General admin & bookkeeping tasks
-Respond to
-Support sales outreach and projects
-Support marketing initiatives such as social media, weekly newsletter, and podcast show notes
-Actively contribute to the revenue & growth of the business. Take action to grow our company and you will grow within the company too.
TRAVEL-RELATED
-Support administering all aspects of a trip’s required reservations, modifications, and cancellations in a timely and efficient manner.
-Contact suppliers to book, confirm or provide information regarding tours reservations. Make sure that hotels/suppliers confirm every component of each itinerary.Research new services and suppliers as needed in alignment with company SOP protocols.
-Coordinate with the suppliers and LCCWE collaborators about all details of customer trips and services
-Send required documentation to LCCWE hosts/guides running the trip in advance and communicate all significant trip details to vendors and other relevant individuals in preparation for a trip
-Coordinate and assist in ground support for logistical issues during trips
-Address any customer issues that arise, work with our company CEO & Operations Coordinator to solve operations-related issues
WINE RELATED
-Coordinate logistics for import of wine ranging from registering labels to liasoning with the shipping carrier and wineries.
-Coordinate client shipments for fulfillment of wine orders
-Support outreach to distributors and suppliers
-Follow changes in government rules and regulations related to the destinations we serve.
-Assistance in booking any events, appointments, related to showing or tasting wines as required.
ABOUT COMPENSATION:
-Pay in USD, bimonthly.
-Fully remote position. Must have your own laptop, wifi, and a dedicated quiet workspace.
-Part time, 20 hours per week. Ability to grow into a full time role after a 3-month trial period, based on ROI and performance.
-Ability to work from 8am - 12pm or 9am - 1pm Pacific Time Monday - Friday. Some weekends may be necessary during the busiest months of the year.
