About the Job:
Managemate is seeking a motivated, hard working and customer-focused individual to join our startup as an Executive Assistant to the CEO & Founder, Salim Dharssi. This role is best suited for an individual who is passionate about learning and applying new skills to support the CEO & Founder in his daily activities relating to sales support, onboarding, customer success and marketing. The successful candidate will have experience working in a software company or startup, and in a role that required them to “wear different hats”. The successful candidate will be willing to learn new skills under the direction and training of the CEO & Founder.

In this role, you’ll get to:
• Work closely and collaboratively with our Founder & CEO, who leads managemate’s sales, marketing and customer success teams
• Gather and help organize information about potential leads in the condominium industry, including performing market research to better understand the landscape of condominium software and operations in different jurisdictions within Canada and the United States
• Work closely under the supervision of our Director of Sales and Business Development, to support outbound sales processes by maintaining our sales playbook, helping to create sequences and measure campaign results, and help the sales team stay organized generally
• Work closely under the supervision of the CEO and Founder to onboard new clients, building on the onboarding process that we have already developed and implemented for our existing clients
• Create, setup and configure new client accounts, including performing data migration with the training and support of the CEO & Founder
• Help schedule, publish and measure the impact of marketing campaigns developed by the business team, on social media and through other channels
• Help the business team track, measure and report on company targets and key performance indicators (KPIs) for our business efforts
• Work closely with the CEO and Founder to coordinate and respond to customer inquiries and support tickets promptly and effectively
• Help the company build community among it’s clients and prospects over social media and virtual forums, with the guidance and in conjunction with Managemate’s CEO & Founder

Team Player who can assist with Sales, Marketing and Customer Success functions:
As a small but growing startup, our staff work closely with all departments within Managemate, stepping in to assist each other as needed. The successful candidate will support, participate in and suggest new processes and techniques to achieve sales, marketing and customer success initiatives as needed including onboarding, training, and data migration.

We’re looking for an energetic and well-spoken person who:
• Has excellent written and verbal communication skills in English
• Is not afraid of interacting with clients by virtual meeting, phone or emails to provide support, get feedback, and learn how they are using Managemate’s software
• Has executive assistant experience to a sales, marketing and/or customer success company lead
• Has a strong desire to learn sales process, customer success process, and marketing process as applicable to the condominium and SaaS industry
• Is goal-oriented, self-motivated, and passionate about succeeding in a metric-driven role
• Can communicate articulately both over the phone and in written format (e.g. email; LinkedIn, etc.)
• Is comfortable working asynchronously using screen recording tools like LoomI
• Is motivated at the prospect of gaining industry knowledge in a niche industry like condominiums, including building operations, community building, regulatory processes and board governance
• Has a natural curiosity and takes ownership to learn new things while also proactively seeking coaching from both peers and managers
• Has experience with or willingness to learn sales tools such as Pipedrive, etc.
• Likes working in a fast-paced, challenging environment with a small but growing team

Qualifications and Requirements:

• Excellent English language skills.
• Demonstrated ability to see a process through from start to finish.
• Demonstrated experience in an executive assistant role, preferably in a SaaS environment or the real estate sector.
• A willingness to learn, understand the problem we’re trying to solve, and the jobs our customers are trying to accomplish.
• Familiarity with the condominium industry is an asset, though not a firm requirement.
• Excellent communication skills, both written and verbal.
• Highly organized with the ability to create and maintain documentation.
• Adaptability and a willingness to take on diverse responsibilities in a small team.

Working Hours:
This role is based in the Philippines, operating primarily during an evening shift from 6:00 PM to 2:00 AM PHT, which aligns with 6:00 AM to 2:00 PM Toronto time. This schedule allows for real-time collaboration during core business hours in Toronto, enabling efficient support for customer success, onboarding, and sales-related tasks. Candidates should be comfortable with these working hours to facilitate smooth communication and responsiveness for our clients and team.

Time Off and Vacation:
We believe in a healthy work-life balance and offer our team reasonable time off. This role includes 10 paid vacation days annually, along with 5 paid sick days, to support both personal well-being and productivity. Additionally, you will observe holidays aligned with the Philippine national holiday schedule. We are also open to some flexibility for additional unpaid leave if needed, ensuring you have the support to recharge and perform at your best.

Office Requirements

The ideal candidate will have a reliable, high-speed internet connection, suitable for video conferencing and other online collaboration tools. They must have their own computer (preferably with updated specifications to handle multiple applications smoothly), necessary peripherals such as a webcam and headset, and a quiet, professional workspace free from distractions. This setup will ensure effective communication and seamless support for our clients and internal team, especially during virtual meetings and collaborative tasks.
