Position Summary
We are looking for a detail-oriented Recruiting & Administrative Specialist to support our team. This role will involve managing recruiting tasks, such as candidate outreach and interviews, and assisting with administrative duties, including report generation, invoicing, and sales support. The ideal candidate is organized, tech-savvy, and can handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities
Recruiting Tasks
Reach out to potential candidates, screen resumes, and conduct initial phone interviews. (phone,
Schedule and conduct interviews, guide candidates through the hiring process, and provide follow-up on their first day.
Maintain and update internal system candidate records, job postings, and other critical information.
Administrative Tasks
Generate and analyze reports, assist with invoicing, and support sales & operational back-end tasks.
Provide administrative support to the management team with back-end sales, operations, and/or human resources tasks and record maintenance.
Skills & Qualifications
- Bilingual (English & Spanish): Must be fluent in English (Spanish and/or French is a plus).
- Excellent Communicator: Clear, articulate, and professional communication skills, both written and verbal.
- Reliable & Independent: Self-motivated with the ability to work independently and make sound decisions in a fast-paced -environment.
Technical Requirements
- Reliable high-speed internet connection (500mbps+).
- A dual-monitor setup and a headset.
- A quiet, dedicated workspace.
- Typing speed of 40+ words per minute.
Required Tools & Platforms Knowledge
- Communication Tools: Slack, Microsoft Teams, Google Hangouts
- Customer Service Platforms: Front, ZenDesk, Kustomer
- Applicant Tracking Systems: Breezy HR, Greenhouse, Workday, BambooHR

- Microsoft or Google Suites - Proficient in Excel/Sheets (pivot tables a plus).
- Phone Systems: AirCall, RingCentral, Grasshopper
Previous Experience:
- 1+ years of experience working with American companies or remote work experience.
- 2+ years of experience in recruiting or administrative support (particularly in industries like cleaning or service businesses is a plus)
- Experience working with American companies or in a remote environment is a plus.
- 1+ year of phone work experience, customer service, sales, recruiting
