JOB OVERVIEW

I am seeking an experienced, proactive, and tech-savvy Personal & Executive Assistant to support me in both my professional and personal endeavors. The role involves managing projects and tasks via Todoist and ClickUp, handling travel bookings, managing expense reports, organizing files and documents, and supporting various administrative tasks. I value clear and prompt communication with a strong emphasis on leveraging ChatGPT to streamline work processes.

About me, I'm an executive in a startup and also work on a handful of other side hustles (including ecommerce, SaaS, content). I do a lot of traveling as well!

Key Responsibilities

Executive Support:
1. Manage emails, calendars, and reminders.
2. Keep projects and tasks updated using Todoist and ClickUp.

Administrative Duties:
1. Assist with research, data entry, and basic data management.
2. Book travel arrangements and manage expense reports as needed.
3. Organize files and prepare documents for meetings or reports.

Communication:
1. Serve as my primary point of contact via different communication channels.
2. Handle phone calls and voice messages with clarity and promptness.
3. Participate in occasional video conferencing sessions.

Technology & AI Utilization:
1. Leverage ChatGPT to streamline tasks such as drafting emails, generating reports, and summarizing information.

Additional Tasks:
1. Assist with scheduling and coordinating meetings.
2. Provide support for occasional weekend tasks (bonus, not required).
3. Simple video editing.
4. Research.

Qualifications

Experience:
1. Proven background as a personal or executive assistant in fast-paced environments.
2. Demonstrated ability to handle diverse administrative tasks and manage multiple priorities.

Technical Proficiency:
1. Familiarity with Todoist, ClickUp, and standard office software (Google Workspace, Microsoft Office).
2. Experience using ChatGPT or similar AI tools to optimize workflow.

Communication Skills:
1. Excellent written and verbal communication, including clear voice messaging.
2. Comfortable with video conferencing and using various digital communication platforms.

Availability:
1. Must be available during US Pacific Time (8am–6pm PT) with flexibility for irregular hours and occasional weekend tasks.

Interpersonal Skills:
1. High attention to detail, strong organizational skills, and a proactive attitude.
2. Ability to handle sensitive information with discretion.
