JOB OVERVIEW

Discount Fabrics Limited, a leading e-commerce company, is seeking a highly organized and proactive Personal Assistant to support the Managing Director. The role also involves managing customer service tickets, requiring flexibility to balance time between personal assistant responsibilities and customer service tasks based on demand. This part-time, hybrid role is ideal for a versatile individual who thrives in a dynamic environment.



Key Responsibilities:

Personal Assistant Duties:


Email
and Communication Management: Manage and prioritize the Managing Director's email inbox to ensure effective communication.
Schedule and Calendar Management: Organize the Managing Director's calendar, schedule meetings, appointments, and provide reminders.
Meeting Preparation and Participation: Prepare for and attend weekly meetings with the Managing Director to review tasks, projects, and priorities. Take detailed minutes and distribute them to relevant stakeholders.
Task Delegation and Follow-up: Assist in delegating tasks and follow up on their progress to ensure completion.
Travel Arrangements: Coordinate travel arrangements, ensuring efficient travel experiences.
Expense and Invoice Management: Handle expense reports, process invoices, and manage financial tasks in coordination with the Finance Manager to ensure accuracy and timely processing.
Research and Data Analysis: Conduct market research and data analysis to support business decisions.
Personal Errands: Assist with personal tasks, including booking appointments and managing personal schedules.
Customer Service Ticket Management:

Monitor and manage customer service tickets, ensuring timely and professional responses to customer queries and issues.
Answer incoming customer service phone calls, providing friendly and efficient assistance.
Coordinate with internal teams to resolve customer concerns and deliver a high level of service.
Working Arrangements:

Hours: 20-40 hours per week, with flexible working arrangements based on demand.

Equipment Provided:

Company phone and laptop will be provided to facilitate efficient work and communication.
Qualifications:

Proven experience as a Personal Assistant, Customer Service Representative, or similar role.
Strong communication and interpersonal skills, with a customer-focused attitude.
Excellent organizational and time management skills, with the ability to prioritize tasks in a demand-driven environment.
Proficiency in MS Office and other relevant software.
Experience in e-commerce customer service is a plus.
Discretion and confidentiality.
Flexibility and adaptability to manage diverse tasks.


Benefits:

500gbp - 1k GBP per month depending on experience (pro-rata).
20 days holiday per year (pro-rata) plus bank holidays.

This role is subject to a 6-month probationary period to assess suitability and performance.
