JOB OVERVIEW

Position: Personal Assistant (PA) to the Regional Vice President of Operations

We are seeking a highly organized, proactive, and results-driven individual to serve as the Regional Vice President of Operations with a focus on providing virtual personal assistant support. The ideal candidate will possess exceptional communication, time management, and multitasking abilities to support executive leadership and drive operational excellence. This remote, offshore position requires a high level of professionalism, attention to detail, and the ability to prioritize tasks effectively in a fast-paced environment.

Responsibilities:
Personal Assistant Duties:
Review, organize, and manage incoming emails; prioritize critical messages for immediate attention.
Maintain and manage the executive’s schedule, including meetings, deadlines, and deliverables.
Provide timely reminders and updates to ensure the executive remains on track with tasks and commitments.
Prepare and coordinate reports, presentations, and other necessary materials.
Handle confidential and sensitive information with the utmost professionalism and discretion.
Support additional administrative and operational tasks as needed.

Operational Support:
Collaborate with leadership to develop and implement strategies to enhance efficiency and productivity.
Monitor and analyze key performance metrics to ensure operational goals are achieved.
Provide support in coordinating and managing special projects or initiatives as assigned.
Serve as a liaison between departments to ensure seamless communication and alignment with organizational goals.
Assist with identifying and implementing process improvements for optimized operations.

Requirements:
Proven experience as a Personal Assistant or in a similar executive administrative role.
Strong leadership and operational management skills.

Exceptional organizational and time management capabilities.
Advanced proficiency in written and verbal communication in English.
Experience with task management tools, calendar software, and project coordination platforms.
High attention to detail and the ability to manage multiple priorities effectively.
Reliable internet connection and availability during the executive’s specified time zone.

Preferred Qualifications:
Experience supporting senior executives in a multifamily real estate or related industry.
Familiarity with operational processes and metrics in a corporate setting.
Ability to work in a high-pressure environment with competing deadlines.
