JOB OVERVIEW

Position Overview
I am seeking a highly organized, proactive, and detail-oriented Personal Assistant to support both my household and my son’s academic progress. This role involves academic mentoring, household and vendor management, financial tracking, meal prep coordination, and calendar planning for the family—including setting up a structured schedule for our toddlers. The ideal candidate will be a problem-solver who can help create and maintain efficient systems that ensure everything runs smoothly.

Key Responsibilities
1. Academic Support & Mentorship (Final Semester Assistance)
· Serve as an academic accountability partner for my son to ensure assignments and tests are completed on time.
· Monitor the school’s online portal for assignments, grades, and updates.
· Conduct daily check-ins (virtual or in-person) to review assignments, deadlines, and completed work.
· Verify homework accuracy and ensure it meets requirements before submission.
· Assist with study guide creation and test preparation, ensuring study time is scheduled effectively.
· Communicate with teachers as needed to clarify expectations and request resources.
· Provide weekly progress reports highlighting accomplishments, areas of concern, and improvement strategies.

2. Household & Vendor Management
· Manage household vendors such as housekeeping, lawn service, and other home maintenance providers.
· Track vendor appointments, payments, and contracts, ensuring services are completed as expected.
· Organize and track household expenses, budgets, and income using Monarch for financial tracking.
· Research and schedule doctor appointments for family members, ensuring all necessary documents are prepared.

3. Calendar & Scheduling Assistance
· Manage and update family calendars in FamilyWall to schedule appointments, events, and daily routines.
· Ensure my husband is aware of upcoming appointments and any schedule changes.
· Develop a structured daily agenda for our toddlers, including meal times, naps, learning activities, and playtime, to provide a clear schedule for the nanny.
· Coordinate family logistics, including travel arrangements when needed.

4. Financial Organization & Expense Tracking
· Assist with opening bank accounts and managing financial activities.
· Track family expenses, invoices, and budgets, ensuring all transactions are correctly categorized in Monarch.
· Provide weekly financial reports summarizing spending, upcoming payments, and budget updates.

5. Meal Prep & Family Assistance
· Assist with meal prepping and ensuring groceries are stocked for planned meals.
· Help coordinate nutritious meals for the family, ensuring dietary preferences are met.

Qualifications & Requirements
· Highly organized and detail-oriented, with the ability to manage multiple responsibilities.
· Strong time-management skills to keep track of schedules, assignments, and deadlines.
· Excellent communication and interpersonal skills, especially when working with high school students, teachers, and household vendors.
· Patience, empathy, and accountability to support my son’s academic progress.
· Tech-savvy, with familiarity in online school portals, Monarch for financial tracking, and FamilyWall for calendar management.
· Ability to work independently while keeping me informed with regular updates.
· Experience in academic coaching, tutoring, or education is a plus.
· Previous experience in household management, nanny support, or family assistance is a plus.

Job Details
· Hours: Approximately 15-20 hours per week (flexible scheduling based on needs).
· Duration: Ongoing, with an initial focus on academic support through the semester.
· Compensation: Based on experience.
