Executive Assistant / Right Hand to the Broker-Owner)
???? Schedule: Monday - Friday (5 hours daily)
Start Date : Monday, March 24th, 2025
???? Compensation: $6-$8 per hour based on experience (plus performance bonuses) along with 1 week paid vacation. After a Year of service.

As we continue to grow, we are seeking a dedicated and highly organized Administrative & Operations Manager to serve as my Right Hand and help take our operations, client experience, and agent support to the next level.

?? Experienced in real estate operations and transaction coordination (preferably in Florida)
?? Expert in Follow Up Boss (FUB) CRM—can build action plans, automations, lead flows, and track conversion data
?? Highly skilled in project management (ClickUp/Asana experience a plus)
?? A self-starter who doesn’t need handholding—proactive, resourceful, and organized
?? Comfortable managing multiple priorities in a fast-paced environment

???? Role Overview
You will be the operations engine behind Global Sapphire Realty. Your role is to streamline, systematize, and manage all backend operations so the Broker/Owner can focus on sales, leadership, and growth. You’ll be the point person for agents, clients, vendors, and systems.
????? Responsibilities
CRM & Lead Management (Follow Up Boss Expert)
- Build and manage action plans, automations, and tags in FUB
- Maintain lead flow and routing (Lender integrations, auto-responders, smart lists)
- Oversee lead conversion metrics and reporting
- Ensure client touchpoints are timely, personalized, and consistent
- Organize the database and ensure follow-ups are happening on schedule
Transaction Coordination & Listing Management:
- Oversee all transactions from contract to close
- Prepare listing agreements, input listings into MLS, and manage listing files
- Provide weekly updates to sellers (showing feedback, reports, etc.)
- Coordinate with title companies, lenders, inspectors, and clients
- Ensure all compliance files are complete in Brokermint
- Deliver an exceptional client experience from start to finish
Administrative Support:
- Manage Broker’s calendar and
- Schedule appointments, showings, and meetings
- Manage team onboarding, agent files, and license renewals
- Handle all correspondence, documentation, and database management
- Assist with recruiting and onboarding new agents
Marketing & Social Media Assistance (Optional/Bonus):
- Coordinate
- Manage listing marketing (flyers, social posts, open house support)
- Create Canva templates for agents (branding consistency)
- Oversee social media scheduling (optional based on experience)
Operations & Business Growth:
- Help develop SOPs and workflows to streamline operations
- Coordinate tea
- Track KPIs and provide weekly reporting to the Broker
- Implement and oversee client gifting and referral programs
- Provide exceptional client and agent care—be the face of Global Sapphire Realty’s operational excellence
Qualifications
- 3+ years in real estate administration or operations
- Strong working knowledge of Follow Up Boss
- Experience with Brokermint (or similar transaction platforms)
- Project management system experience (ClickUp, Asana, or Trello)
- Proficient with Google Workspace (Docs, Sheets, Drive, etc.)
- Tech-savvy—comfortable learning new systems quickly
- Strong attention to detail and deadlines
- Excellent communication and customer service skills
- Real estate license preferred but not required
