We are seeking a highly skilled, motivated and detail-oriented Medical Expert Administration Assistant to join our rapidly expanding technology firm in the personal injury space. The role serves as the backbone of accuracy and efficiency, ensuring the credentials of our recruited medical experts and the services they offer are impeccably maintained and updated. The role requires attention to detail in handling administrative tasks, updating accreditations, and keeping records up to date, which will not just prevent time-wasting errors, but will also be instrumental in paving the way for smooth and rapid growth within our business.
You will have exceptional verbal and written English communication skills, fluent at a CEFR Level C1 or C2 (IELTS score of 8 or higher) preferred, along with a strong reliable internet connection with a minimal download speed of 150mps and a quiet private workspace.
This is a virtual full-time role, working Monday-Friday 9am – 6pm, Australian EST, reporting to the Medical Expert Engagement and Coordination Manager.
Key Responsibilities:
• Updating Medical Experts’ details across a variety of platforms and materials, including
• Medical Experts’ appointment coordination support, including sourcing new sessional room locations, managing appointment list schedules with sessional rooms, and assisting with the logistical aspects of medical expert appointments
• Managing Hybrid appointments with the physiotherapist clinics, including sourcing new physio clinics as required, and ensuring the clinic is ready for the assessment
• Report de-identification, ensuring reports are correctly de-identified for confidentiality
• Support for Medical Experts Sales and Operations Team, providing ad hoc administrative and operational support to the broader team, contributing to the efficiency and effectiveness of our service delivery
• Telephone support, handling both inbound and outbound calls, offering support and assistance to ensure responsive and high-quality service to our clients and medical experts
Qualifications and Requirements:
• Language Proficiency: High level of English fluency, CEFR Level C1 or C2 (IELTS 8+ preferred).
• Technical Requirements: Reliable internet connection with a minimum download speed of 150 Mbps.

• Proactive and flexible with strong experience in Administration and Customer Service

• Excellent skills in Microsoft Office Suite (Word, Excel, Outlook), and other relevant software
