You’ll support the Founder directly, keep the sales and marketing engines running, and help us organize and scale what’s working. This is a fast-paced, highly strategic role for someone who thrives in remote teams and wants to step into a true right-hand position.
This is a high-impact role, ideal for someone who thrives in a fast-paced, remote environment, understands the nuances of sales pipelines, and basic marketing campaigns and can build strong relationships with anyone. What You’ll Own:
This isn’t your typical EA role. You’ll own key workflows in sales, marketing, and executive operations — while helping the CEO buy back their time and focus on growth.
This is a sample of what you will be responsible for. The list will change and adjust as the team grows and playbooks and systems are put in place.
Daily Responsibilities:
Move forward at least 3 meaningful sales or marketing conversations on social media platforms
Leave insightful comments or outreach messages on 5+ high-value profiles/day
Keep CRM and sales dashboard organized and up-to-date
Monitor and organize the CEO’s inbox; flag urgent messages and delegate appropriately
Keep the calendar clean and conflict-free
Weekly Responsibilities:
Reach out and coordinate podcast interviews for the CEO to be featured on (Guest Booking)
Review client folders and clean up digital assets/files
Draft and schedule 2x marketing newsletters (with guidance/templates from our team)
Collaborate with our media buyer to review ad performance + marketing KPIs
Gather and prepare content for client case studies
Send contracts, proposals, and onboarding material to ready-to-buy prospects
Light prospecting to re-engage warm or cold leads
Quarterly Responsibilities:
Research industry events, conferences, and summits (especially in financial, legal, insurance, and B2B services)
Plan travel and logistics (including creative “travel hacking” strategies)
Help prep for quarterly planning, reviews, and team updates
Admin & Operational Tasks:
Pay bills, submit credit card statements, and coordinate with the bookkeeper
Ensure metrics and dashboards are prepped for CEO visibility
Document systems and create SOPs/playbooks using trainings that we will provide
Own and improve internal workflows as we scale
What We’re Looking For:
You’re organized, proactive, and sharp — and you’re not just checking off boxes. You’re asking: “How can I make this more efficient?” or “What’s missing that would make this even better?”
Must-Have Experience:
3+ years as a sales assistant, executive assistant, or marketing operations coordinator
3+ years as an executive assistant for a busy / growing CEO.
Ideally, you have worked with other growing agencies and directly with the CEO
Familiarity with CRMs (ActiveCampaign, GoHighLevel, or similar) and project tools (like
Comfortable working remotely across tools like Google Workspace, Slack, and Loom
Excellent written and verbal communication in English (you’ll be communicating with CEOs, clients, and prospects on behalf of our CEO)
a genuine curiosity in using AI and AI tools
Strong organizational skills — you keep things from slipping through the cracks
Able to work Eastern Time hours (at least 6–8 hours overlap daily)
hungry to learn and execute and document what works
Bonus (but not required)
Experience with producing podcasts, listening to podcasts is good enough
Background in digital marketing and paid ads
What we offer:
Competitive Monthly Pay: $1,300–$1,600 USD/month, based on experience and qualifications.
Full-time position with BONUS: This is a full-time position so we need this to be your biggest and primary priority from a work stand-point. Give us your best and we can work to give you bonuses along the way for helping the company hit our goals.
Flexible Schedule: Work remotely with autonomy, as long as you’re available during core Eastern Time Zone hours for meetings and calls.
