Job Description:
Are you an exceptionally organized individual who thrives in a fast-paced environment? We are seeking a detail-oriented Transaction Coordinator to join our supportive, remote team. In this role, you’ll be the backbone of our transaction processes, ensuring everything runs smoothly and efficiently. Key Responsibilities:

Transaction Coordination:

Manage Jointly/Dotloop for signatures and transaction management, ensuring all documents are accurately tracked, filed, and kept up-to-date.
Perform MLS/MATRIX input tasks, ensuring all property listings are entered and updated promptly and accurately.
Maintain meticulously organized digital files, ensuring all required documents are uploaded and properly categorized.
Prepare and manage templated communications to ensure smooth, consistent messaging throughout the transaction process.
Property Management:

Coordinate maintenance requests in collaboration with agents and ensure effective communication with tenants to address issues promptly.
Balance monthly property ledgers, ensuring precise financial tracking.
Maintain and update property management software, ensuring all tenant and property information is current and accurate.
Be on-call during weekends for property management emergencies, primarily to respond to maintenance requests (low volume expected).
CRM Management:

Ensure all clients are accurately added and tagged in the CRM system.
Utilize the CRM to manage client communications, including sending emails and updates.
Keep client information current and ensure accurate tracking of client interactions.
Director Support and Operational Coordination:

Manage directors' email inboxes, ensuring timely responses, prioritization, and organization of communications.
Coordinate with other departments, such as marketing, to order necessary materials like flyers for the directors or agents.
Provide administrative support for various ad-hoc tasks, ensuring smooth back-office operations.
What We’re Looking For:

Tech-Savvy and Adaptable: While no prior experience with real estate software is required, you should be comfortable learning new systems. Proficiency with computers, Google Workspace, and CRM systems is essential.
Meticulously Organized: You have a keen eye for detail, excel at managing multiple tasks, and thrive in keeping everything organized and on track.
Strong Communicator: Excellent written and verbal communication skills, especially in a remote setting, are crucial.
Reliable and Self-Motivated: You must have reliable high-speed internet, an up-to-date computer with sufficient processing power, and the ability to work independently with minimal supervision.
Availability: Must be available 8am-5pm CST and willing to be on-call during weekends for property management emergencies.
