The Role:
The Executive Assistant is responsible for providing comprehensive support to the CEO, managing the organization’s office operations in a remote working environment. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

PRIMARY RESPONSIBILITIES
Calendar Management: Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts, making judgments, and recommending solutions to ensure smooth day-to-day engagements.

Administrative Support: Complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organization, including managing emails, scheduling, and organizing meetings.


Email
Management: Efficiently manage the CEO’s inbox, prioritize and filter emails, and respond to routine inquiries. Delegate tasks based on the nature of the request to the appropriate departments, ensuring timely follow-up and task completion.

Point of Contact: Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Use discretion to prioritize and determine appropriate actions, referrals, or responses that reflect the CEO’s style, vision, and mission.

CEO Communication & Outreach: Work closely with the CEO to keep them well-informed of upcoming commitments and responsibilities. Follow up appropriately to ensure the CEO stays on track. Act as a “barometer” for the environment, keeping the CEO updated on emerging issues.

Anticipating Needs: Anticipate the CEO’s needs in advance of meetings, conferences, and other engagements, ensuring they are well-prepared.

Relationship Management: Coordinate the CEO’s outreach activities and follow up on contacts made to cultivate and maintain ongoing relationships with clients, partners, and stakeholders.

Vendor and Supply Management: Assist in selecting vendors and purchasing necessary equipment, services, and supplies required for the organization’s operations.

Task Delegation: Delegate requests to the appropriate teaUpgrade to see actual infombers or departments, ensuring tasks are carried out efficiently and deadlines are met.

Project Management: Assist in various projects and duties as assigned, contributing to the overall success of the organization.

Qualifications:
Significant executive support experience, including supporting C-level executives.
Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications).
Strong verbal and written communication skills
Exceptional organizational skills and impeccable attention to detail.
High degree of professionalism in dealing with diverse groups of people, including senior executives, staff, community leaders, customers, and school partners.
Make appropriate, informed decisions regarding priorities and available time.
Ability to complete a high volume of tasks and projects with little or no guidance.
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
Able to maintain a high level of integrity and discretion in handling confidential information.
Excellent judgment is essential.
Ability to switch gears at a Upgrade to see actual infont’s notice.
Proven ability to work as a team player and a self-starter who can work independently, take initiative and meet deadlines in a timely manner.
Must be able to work in a virtual environment via telecommute over high speed internet access in a quiet and protected workspace free from background noise such that the performance of duties is done in the most professional manner.
Consistent, positive attitude.
Open to learn German language skills via AI and German language course to support CEO communication
