About Us:
Indy Christmas Light Pro's and Blue Duck Lawn Care are two local, family-oriented businesses that prioritize excellent service, community engagement, and innovation in our industries. We’re seeking a highly organized and driven Executive Assistant to support the owner in managing both companies. This position is critical to helping streamline operations, maintain strong customer relationships, and ensure company growth.

Position Overview:
As the Experienced Executive Assistant, you will work directly with the owner to manage the daily operations of both companies. Your responsibilities will involve everything from managing emails to ensuring operational efficiency through task tracking and accountability. This role requires someone who is proactive, detail-oriented, comfortable wearing many hats and moving very fast on tasks with a dynamic owner that expected very fast responses.

Key Responsibilities:
- Email Management: Oversee the owner’s inbox by responding to inquiries, organizing emails, and flagging important communications.
- Appointment Setting: Manage and schedule meetings, calls, and appointments, ensuring the owner’s calendar is up to date and organized.
- Recruitment Assistance: Help with recruiting efforts by sourcing candidates, setting up interviews, and managing the recruitment pipeline. (as needed)
- Social Media & Community Engagement:
- Monitor and participate in local Facebook and Next-door groups, specifically mom groups and community forums.
- Post and respond to inquiries for lawn care, pest control, and Christmas lights in a non-promotional, value-adding way.
- Blog Writing: Write three blogs per week for each company (Indy Christmas Light Pro's and Blue Duck Lawn Care), covering industry-relevant topics.
- Operational Support: Assist with estimates during busy seasons, ensuring timely and accurate proposals.
- Inventory Management: Perform monthly inventory checks and maintain accurate records, double checking that it has been completed
- Invoicing: Charge invoices every Monday and send account statements to commercial clients on the 1st of each month.
- EOS Meeting Facilitation: Support the implementation and tracking of Entrepreneurial Operating System (EOS) meetings, ensuring team members are held accountable to their ROCKS (goals).
- Standard Operating Procedures (SOPs): Develop and update SOPs for the work that you are performing
- Fleet Maintenance: Build and manage a spreadsheet to track the maintenance of all company vehicles and equipment.
- Plan events as needed.
- Be on call when owner needs you. Sometimes meaning you will work later at night.

Qualifications:
- Proven experience as an executive assistant, office manager, or similar role. Do not apply if you have never been in this role.
- Strong organizational and multitasking skills.
- Excellent written communication skills for blog writing and responding to community inquiries.
- Proficiency in Google Workspace, and task management software (experience with EOS a plus).
- Comfortable working in a fast-paced environment with a demanding owner that has high standards of excellence and managing multiple responsibilities.
- Familiarity with the Indianapolis metro area and local community groups is a bonus.
