Overview:
By day, I serve as marketing director and executive producer at the University of Notre Dame’s McGrath Institute. By night, I run a growing personal brand as a writer, producer, and media strategist. I’m looking for a proactive and detail-oriented virtual assistant to help me manage the latter, assisting with my brand development, social media, publishing, and professional outreach efforts.
The ideal candidate will support my work by helping me stay consistent, polished, and productive — empowering me to remain focused on writing, creative strategy, relationship building, and other high-value content creation. In short, I would love to find a long-term strategic partner who can help fuel my creative pursuits.
Responsibilities include the following, but flexibility and adaptability are important to bring to the table, as the role will likely evolve over time. Please review thoroughly before applying to ensure it's a good fit.
Content & Personal Branding:
- Maintain a content calendar for social platforms (YouTube, Substack, X, LinkedIn, FB/IG).
- Repurpose long-form work (articles, essays, thesis chapters, longer videos) into bite-sized content optimized for social.
- Schedule and post content using Buffer or Hubspot or the like; serve as community manager for social media, helping to moderate and respond to comments.
Publishing Pipeline:
- Track submissions, publications, and follow-ups.
- Format and submit essays, pitches, and proposals to cater to academic and literary outlets.
- Research and recommend new publishing opportunities.
- Draft query letters and short author bios based on provided info.
Substack &
- Manage Substack account and
- Format and schedule monthly newsletters using provided content.
- Track engagement and recommend improvements; ensure proper integration between platforms.
Professional Outreach:
- Maintain a contact log of editors, collaborators, and strategic partners.
- Research podcast, speaking, or guest-writing opportunities.
- Assist with interview scheduling and professional outreach.
Skills & Qualifications:
- Strong writing, editing, and communication skills.
- Experience managing social media and/or newsletters.
- Familiarity with Trello, Asana, or Basecamp, Google Workspace, and scheduling tools (Buffer, Hubspot).
- Basic design (Canva) and formatting skills a plus.
- Detail-oriented, self-directed, and eager to learn.
- Interest in publishing, Catholic media, theology, or communications preferred.
Schedule:
- 5-10 hrs/week with flexibility
- Long-term potential for growth in hours and responsibility
