JOB OVERVIEW

Job Overview:
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our Amazon marketing agency. This role is critical in ensuring the CEO’s time is optimized, key initiatives are executed seamlessly, and client needs are met with precision. The ideal candidate will have a strong background in eCommerce, project management, and executive-level support, with the ability to manage multiple priorities in a fast-paced environment. This position requires exceptional communication skills, attention to detail, and the ability to maintain efficiency across all aspects of the business.

Key Responsibilities:
- Inbox and Calendar Management: Efficiently manage the CEO’s inbox, prioritize emails, schedule meetings, and ensure optimal time management.
- Client Communication & Follow-Up: Act as a liaison between the CEO, clients, and internal teams to ensure client requests are being addressed promptly and accurately.
- Task & Deadline Management: Ensure critical tasks are being worked on and delivered to clients on time, maintaining high standards of execution.
- Project Management: Independently manage significant projects, ensuring milestones and strategic goals presented to clients are met. This includes comprehensive preparation, execution, and follow-up.
- High-Priority Task Execution: Handle multiple high-priority tasks and projects simultaneously, maintaining composure under pressure while delivering top-quality results.
- Operational Coordination: Oversee daily operations, coordinating across multiple teams to ensure smooth workflow and timely execution of key initiatives.
- Team Oversight: Keep the team on track, ensuring accountability and preventing critical tasks from slipping through the cracks.
- Standards & Quality Control: Uphold and enforce deadlines, ensuring all deliverables meet executive-level expectations without compromising quality.

Job Qualifications:
- Bachelor’s degree in Business Administration, Marketing, Communications, or a related field preferred.
Minimum of 3 years of experience as an Executive Assistant, Project Manager, or in a similar role supporting executive leadership.
- eCommerce experience is a must—familiarity with Amazon, Walmart, and other marketplace platforms is a strong advantage.
- Strong understanding of digital marketing, eCommerce operations, and online retail strategies.
- Excellent verbal and written communication skills; ability to convey messages clearly between clients and internal teams.
- Highly organized with exceptional attention to detail and the ability to manage multiple competing priorities.
- Strong problem-solving skills with a proactive, solutions-oriented mindset.
- Proficiency in productivity and project management tools (e.g., Asana, Click Up, Slack, Google Suite, Microsoft Office, etc.).
- Ability to maintain confidentiality, discretion, and professionalism in all interactions.
- Self-starter with the ability to work independently while also collaborating effectively within a team environment.
- Strong time management skills with a sense of urgency and a commitment to meeting deadlines.
