Overview: We are seeking a highly detail-oriented and proactive Executive Assistant to work closely with the CEO of our growing e-commerce business. This role offers a unique opportunity to learn directly from the CEO, shadowing him throughout the day to gain insight into the business's operations, decision-making processes, and strategic direction. The ideal candidate will be highly organized, curious, and ready to adapt to the fast-paced demands of a dynamic business environment. This is a remote position, and the Executive Assistant should be comfortable with flexible hours, as the CEO may reach out at random times throughout the day and night.

Important Note on Availability: This is a remote position, but please note that the CEO may reach out at any time of the day or night. While the exact hours are flexible, the candidate must be comfortable with receiving calls and providing support outside of traditional working hours. This means you must be available to assist the CEO during unpredictable times throughout the day, including late nights or weekends, depending on the CEO's needs.

Key Responsibilities:
Executive Support & Calendar Management: You will manage the CEO’s calendar with the utmost attention to detail, ensuring no meeting or appointment is missed. You will be responsible for prioritizing, scheduling, and coordinating the CEO's day-to-day activities.


Shadowing & Learning: Your role will be to "shadow" the CEO closely, observing and learning from his decision-making processes. You will ask questions and dig deeper into the "why" behind key decisions and operations to understand the business from every angle.


Business Operations Awareness: You will need to stay aware of all business operations and developments to provide effective support. This includes maintaining strong communication with teaUpgrade to see actual infombers, understanding ongoing projects, and ensuring things run smoothly.


Proactive Problem Solving: When issues arise, you’ll take initiative, finding solutions quickly and efficiently. Your keen attention to detail and curiosity will help you solve problems and make the CEO's life easier.


Communication & Coordination: You will serve as the main point of contact between the CEO and the team. You’ll ensure that communication flows effectively and that any urgent issues are brought to the CEO’s attention promptly.


Key Qualifications:
Exceptional attention to detail and strong organizational skills.
Ability to manage multiple tasks and priorities efficiently, especially under pressure.
Self-motivated and proactive with a “no task is too small” mindset.
Strong communication skills, both written and verbal.
Curious and eager to learn. You will need to ask questions, challenge assumptions, and understand the "why" behind decisions.
Flexibility to respond to the CEO's needs and be available during non-standard hours.
Experience in a similar Executive Assistant or administrative support role is preferred.

Results & Key Accomplishments:
Ensure the CEO’s calendar and appointments are flawlessly managed with no conflicts or missed commitments.
Actively support the CEO’s operational and strategic decisions through thorough research and proactive problem solving.
Maintain smooth communication and operational flow across teams, staying highly organized and detail-oriented.
Demonstrate rapid learning of the business and contribute to overall operational efficiency.
Build a strong working relationship with the CEO, providing high-level support while learning the ins and outs of running a growing business.

Please note: This role is incredibly dynamic. Very startupy-Processes may not exist and you’ll be expected to get nitty gritty and build things on the fly while also documenting how it’s done along the way and creating robust structure with sops etc to create consistency and speed. You should like “getting your hands dirty.” This is not for those who like to manage from a mountain top. You should show up everyday and love what you do. This should be your #1 responsibility.
