As we continue to grow, we’re looking for a proactive, strategic, and organized Executive Assistant to help us drive efficiency, team performance, and operational excellence.

Job Overview
We are seeking an experienced Executive Assistant who is detail-oriented, a strong communicator, and skilled in team coordination and strategic planning. This person will work closely with the leadership team to help follow up with leads and staff, onboard new hires, implement systems, and keep the team running efficiently.

Responsibilities
Executive Support

Manage daily schedules and calendar for the CEO and leadership team

Organize meetings, take minutes, and track action items

Follow up with internal and external stakeholders on behalf of leadership


Team Onboarding & Operations

Coordinate the onboarding process for new hires and freelancers (forms, accounts, SOPs, access setup)

Maintain team tracking systems for tasks, deadlines, and performance

Help streamline communication between departments and external partners


Strategic Project Management

Assist in building and implementing SOPs, workflows, and tools that increase team efficiency

Track deliverables for marketing, operations, and client campaigns

Support in the execution of company-wide initiatives and launches


Follow-Up & Accountability

Proactively follow up on assignments and leads to ensure timely completion

Set reminders and check in with teaUpgrade to see actual infombers to ensure progress and results

Help maintain CRM or project management systems to keep operations aligned


Requirements
Proven experience as an Executive Assistant, Operations Coordinator, or Project Manager

Excellent verbal and written communication skills

Highly organized with strong attention to detail

Strategic thinker with the ability to anticipate needs and solve problems

Strong knowledge of productivity tools (Google Workspace, Monday, Slack, etc.)

Familiarity with CRM tools and onboarding workflows is a big plus

Experience supporting teams in a fast-paced, dynamic environment
