Role Requirements
*3+ years of administrative support experience with C-level executives or CEOs (US or Western)
*Proficient in Google Suite, especially with spreadsheets
*Experience using task management software (Asana preferred)
*Familiar with communication tools like Slack and Loom
Role Responsibilities
*Administrative Support: Manage complex schedules, coordinate high-level meetings, prepare business documents, maintain databases, assist with projects, arrange business travel, handle expense reporting, manage digital files, and provide cross-functional support.
*Communication Management: Handle high-volume inboxes, follow up with customers, facilitate internal communication, and coordinate meetings with stakeholders.
*Reporting and Analytics: Generate comprehensive reports, document meetings, compile project updates, prepare executive briefings, and create data visualization dashboards to support decision-making and strategic planning.
*Research and Market Intelligence: Conduct market analysis, competitive intelligence, industry monitoring, maintain knowledge databases, and assess technology for business development and strategic positioning.
*Customer Service Excellence: Provide multichannel support, enhance feedback collection, optimize CRM, and manage affiliate programs to ensure compliance and maximize value.
*Data Management and Entry: Ensure data integrity by accurately inputting business data, optimize databases through regular audits, and provide transcription services for audio and handwritten notes.
*Operational Support: Manage vendor relations, improve processes, oversee supply chain, coordinate events, and ensure compliance with legal requirements.
*Financial Assistance: Monitor budgets, provide updates, flag overruns, and pull reports for accurate sales forecasting.
*Sales Support: Manage leads, build prospect lists, and maintain the CRM system to provide the sales team with accurate and timely data.
