JOB OVERVIEW

We are seeking a highly organized, proactive, and detail-oriented Executive Virtual Assistant to provide exceptional administrative and operational support to the CEO and COO of our rapidly expanding estate planning law firm. The ideal candidate thrives in dynamic virtual environments, adeptly manages multiple priorities, and possesses excellent communication, problem-solving, and confidentiality skills.

Key Responsibilities:
- Expertly manage and maintain executives' calendars, scheduling appointments, meetings, and coordinating travel arrangements.
- Effectively handle email inbox management, ensuring timely responses and organized correspondence.
- Prepare, review, and edit correspondence, internal communications, presentations, and key documentation.
- Manage confidential and sensitive information with utmost discretion and security.
- Monitor, screen, and respond to incoming communications, distributing or escalating as appropriate.
- Facilitate clear communication and coordination across all levels of internal staff.
- Coordinate and support executives in managing various project-based tasks and initiatives.
- Assess current administrative and operational processes and proactively implement improvements.
- Plan, organize, and coordinate business-related events as well as family activities as needed.

Qualifications:
- Proven experience as an Executive Assistant or similar high-level administrative support role.
- Proficiency in Microsoft Office Suite and familiarity with collaboration tools such as Zoom, Slack, and Asana.
- Exceptional organizational skills, with the ability to prioritize tasks and manage time efficiently.
- Ability to thrive and maintain composure in a fast-paced, evolving virtual environment.
- Demonstrated proactive problem-solving abilities and sound decision-making skills.
- Excellent verbal and written communication skills, maintaining a professional demeanor at all times.
