About Us
We are an established printing company based in Australia, offering high-quality printing solutions for our clients. We are now looking for a Virtual Assistant (VA) to help streamline our operations and improve client communication.
About the Role
The Executive Assistant will support the day-to-day operations of the company, managing administrative tasks, client communication, and marketing activities. The VA will take ownership of much of the current responsibilities to create efficiency and improve workflow.
ABOUT YOU:
1. You MUST have experience working with XERO
2. Excellent English (written and verbal)
3. CRM Experience a bonus: Go High Level
4. Minimum 5 years experience as a Virtual Assistant or Executive Assistant.
Key Responsibilities
1.
Email
Quoting: Generate and send quotes via Xero for 30 of our core products, ensuring accuracy.
Follow-Up: Call clients for quotes over $100 to build rapport and secure orders.
CRM Updates: Record client interactions and follow-ups in the CRM system.
2. Order Processing
Invoice Management: XERO Convert quotes into invoices and send follow-up
Payment Monitoring: Ensure most payments are received before production starts.
Artwork Coordination: Check submitted artwork for issues and coordinate approvals.
3. Production Scheduling
Coordinate with the production team to ensure schedules are updated and prioritized.
Verify payments before jobs are processed.
4. CRM Implementation and Maintenance
Upload client information from Xero into the CRM system and create client journeys.
Conduct follow-up calls and maintain CRM records for ongoing client engagement.
Google Review Requests.
5. Marketing Support
Assist in reviving the “Goodie Box” campaign for professionals (e.g., Doctors, Lawyers).
Develop and execute marketing plans targeting Real Estate agents, ensuring competitive pricing strategies.
6. Client Liaison
Proactively reach out to past clients to offer services and re-establish relationships. Calls,

Handle quotes, invoices, and follow-ups for unpaid invoices.
Enter supplier bills into Xero and assist with purchasing coordination.
Qualifications
Minimum of 4 years experience as an Executive Assistant or in a similar role.
Exceptional English communication skills (both written and verbal).
Neutral accent for professional client interactions.
Strong organizational and time-management skills.
Experience with Xero or similar accounting software is required.
Familiarity with CRM systems is a plus.
Proactive, detail-oriented, and able to work independently.
