Position Overview: We are seeking a highly organized, proactive, and capable of handling multiple tasks in a fast-paced environment Strategic Assistant that can provide high-level administrative support to the HOA board, community manager, or association executives. This role is essential in ensuring smooth day-to-day operations by managing schedules, handling communications, coordinating meetings, and assisting with contract and financial documentation.

Responsibilities:

- Manage the executive’s calendar, schedule meetings, and coordinate appointments.
- Prepare agendas, minutes, and reports for meetings.
- Takes minutes of the meetings.
- Handle correspondence, emails, and phone calls on behalf of the executive or board.
- Maintain and organize HOA records, contracts, and legal documents.
- Read, understand, and assist in reviewing contracts with vendors and service providers.
- Track contract expiration dates and ensure timely renewals or renegotiations.
- Assist in preparing and filing necessary legal or financial documents.
- Maintain confidentiality of sensitive HOA information.

Qualifications:

I. Education & Experience

-Bachelor's degree in Administration, Communication, or any related field.
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Has property management experience, HOA would be a huge plus.

II. Skills, Competencies & Other Requirements:

- Excellent Communication Skills.
- Ability to read, understand, and assist in managing contracts and agreements.
- Strong organizational and multitasking abilities with keen attention to detail.
- Has experience managing at least 20 people.
- Proficient in AI Software and other tools.
- Demonstrates strong accountability and takes initiative with motivation to act.
- Maintains discretion with sensitive HOA and homeowner information.
- A self starter and problem solver.
- Willing to work full time 40 hours a week following US timezone
