Our client is a leading non-bank lender in Australia, established in 2023, dedicated to providing brokers and borrowers with a responsive, flexible, and reliable lending experience. The organisation specialises in funding property-backed transactions nationwide, serving property professionals, small to medium-sized businesses, and SMSFs.
Role Overview:
The Executive Assistant will play a pivotal role in supporting the executive’s day-to-day operations, ensuring smooth workflow and effective communication across the organisation. This role demands a high level of organisation, attention to detail, and the ability to handle multiple responsibilities efficiently. The ideal candidate will act as a reliable point of contact between the executive and internal/external stakeholders, while maintaining confidentiality and professionalism. Additionally, the Executive Assistant will provide strategic and operational support, contributing to the overall success of the company.
Job Responsibilities:
Administrative Support
- Manage the executive’s calendar, scheduling meetings, appointments, and events.
- Coordinate travel arrangements, including flights, accommodation, and itineraries.
- Prepare and edit correspondence, presentations, and reports as required.
- Handle confidential and sensitive information with discretion and professionalism.
Operational Support
- Oversee and prioritise daily tasks to ensure deadlines are met.
- Act as a liaison between the executive and internal/external stakeholders.
- Assist in managing client interactions, including responding to inquiries and follow-ups.
- Maintain and update databases, client records, and documentation.
Strategic Assistance
-- Support the preparation of reports and materials for client meetings and presentations.
- Assist with research and analysis to aid decision-making.
- Track progress on key projects and provide regular updates.
- Identify opportunities to improve processes and workflows.
Event Coordination
- Organise team and client events, including logistics and communication.
- Support in planning and executing professional and social functions.
Tools and Software Proficiency
- Google Workspace: Gmail, Google Calendar, Google Meet, and Google Chat.
- Google Docs, Google Sheets, Google Slides, and Google Drive.
- Tools like Asana, Trello, or
- Familiarity with Zoho CRM, HubSpot, Salesforce, or similar software.
- Google Maps and Google Forms.
- DocuSign or Adobe Acrobat.
- Canva and Google Slides Add-Ons (optional).
Qualifications:
- Proven experience as an Executive Assistant or in a similar role, preferably in financial services or a related field.
- Strong understanding of private lending, finance, or property development is an advantage.
- Demonstrated ability to work both independently and collaboratively.
- A tertiary qualification in business administration or a related discipline is desirable.
Experience Level: 3 to 5 years
