We are seeking a dynamic and highly organized Executive Assistant to support the President in managing day-to-day operations, strategic initiatives, and team engagement activities. This full-time role combines administrative excellence with creative and organizational expertise to ensure the business operates efficiently and aligns with its vision. The ideal candidate is proactive, detail-oriented, and passionate about driving results through collaboration and communication.
Key Responsibilities
1. Executive Support
Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
Prioritize and handle
Assist in preparing for meetings, including drafting agendas, taking notes, and tracking action items.
2. Vision and Engagement Coordination
Track progress on company challenges, key performance indicators (KPIs), and strategic goals.
Prepare and distribute motivational content such as team updates, video scripts, and presentations.
Organize and facilitate team events, including quarterly meetings and one-on-one check-ins.
Develop graphics, templates, and visual materials to support team engagement efforts.
3. Administrative and Operational Support
Maintain organized records of projects, reports, and key documents.
Monitor task management systems (e.g., ClickUp) to ensure deadlines and priorities are met.
Support hiring and onboarding processes, ensuring smooth integration of new tea
Assist with office management tasks, including purchasing supplies and coordinating vendor relationships.
4. Communication Hub
Act as a liaison between the CEO and the team, ensuring alignment and clarity in communications.
Facilitate team-wide communications and announcements to keep everyone informed and motivated.
Organize and manage the flow of information for both internal and external stakeholders.
5. Strategic Project Support
Conduct research and compile reports to support strategic initiatives and decision-making.
Take ownership of special projects, ensuring timely completion and high-quality results.
Continuously improve processes to streamline operations and enhance team efficiency.
Skills and Qualifications
Required Skills:
Organization and Time Management: Exceptional ability to prioritize and manage multiple tasks and deadlines.
Communication Skills: Excellent verbal and written communication skills, with the ability to craft professional and engaging materials.
Creative Design Skills: Proficiency in tools like Canva, Adobe Creative Suite, or similar graphic design platforms.
Technology Proficiency: Strong familiarity with tools like ClickUp, Google Workspace, and project management software.
Proactive Problem-Solving: Demonstrated ability to anticipate needs and independently resolve challenges.
Data and Reporting: Experience tracking and analyzing metrics or KPIs, with the ability to present insights clearly.
Preferred Skills:
Experience in executive-level support, project management, or team engagement roles.
Background in accounting, finance, or small business operations (a plus but not required).
Knowledge of QuickBooks Online or other financial tools (a plus).
