We are seeking a highly skilled and proactive Executive Assistant to provide top-tier administrative support to our senior executives. The ideal candidate will have experience managing complex schedules, coordinating meetings, handling confidential information, and streamlining office operations. This individual will be an exceptional communicator and problem-solver, able to anticipate needs, prioritize tasks, and ensure seamless day-to-day operations in a fast-paced environment.

Key Responsibilities:
Executive Support & Administration: Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Meeting Coordination & Event Planning: Organize and oversee executive meetings, prepare agendas, take minutes, and track action items.
Document Preparation: Draft, edit, and finalize correspondence, reports, and presentations with high accuracy and attention to detail.
Confidential Information Management: Handle sensitive company information with the utmost discretion and confidentiality.
Office Management: Ensure the smooth operation of the office by maintaining supplies, organizing files, and managing vendor relationships.
Project Coordination: Support project teams by assisting with administrative tasks such as document preparation and meeting coordination.
Stakeholder Liaison: Act as a point of contact between executives and internal/external stakeholders, ensuring timely communication and follow-ups.
ERP & CRM Systems: Maintain data and reporting through ERP and CRM systems, ensuring information is up-to-date and accurate.

Key Skills & Competencies:
Advanced Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with ERP and CRM systems
Exceptional organizational and multitasking skills
Strong written and verbal communication abilities
Proven ability to handle confidential information with discretion
Project management and coordination experience
Calendar and travel management for senior executives
Ability to anticipate needs and proactively address potential challenges
Event planning and logistics coordination
Familiarity with Six Sigma principles (Master Black Belt is a plus)


Qualifications:
Bachelor’s degree in Human Resources Management, Business Administration, or a related field (or equivalent work experience)
5+ years of experience as an Executive Assistant or similar role supporting C-level executives
Strong problem-solving skills with a proactive mindset
Excellent interpersonal skills and the ability to communicate with all levels of an organization
