JOB OVERVIEW

We are seeking a highly skilled and proactive Executive Assistant to support the our recruitment company. The successful candidate will serve as a key administrative resource, ensuring the efficient operation of the company and helping to manage the CEOs day-to-day activities. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, dynamic environment.

Key Responsibilities:
Executive Support:

-Provide comprehensive administrative support to the CEO, including managing their calendar, scheduling meetings, and minimal social media management.
-Prepare and organize materials for meetings, presentations, and client communications.
-Act as a liaison between the CEOs, internal teams, and clients.
-Handle confidential information with discretion and professionalism.

Communication Management:

-Screen and prioritize calls, emails, and other correspondence for the CEO.
-Draft and proofread emails, SOPs, contracts and other business communications.
-Assist in preparing executive reports, meeting agendas, and presentations.

Project and Task Management:

-Manage and track ongoing projects, ensuring deadlines are met and tasks are completed efficiently.
-Help the CEOs with prioritizing initiatives, setting goals, and following up on outstanding matters.
-Coordinate and track recruitment projects, including client meetings and candidate interviews.

Meeting Coordination:

-Schedule and coordinate meetings, consultation calls, and other conference.
-Organize data and other recruitment files
-Maintain accurate records of meeting minutes and action items.
Travel and Logistics:

General Administration:

-Oversee the CEO’s office operations, ensuring smooth day-to-day activities.
-Assist with HR functions like onboarding new employees, employee engagement initiatives, and recruitment coordination.

Experience:

Minimum of 2 years of experience as an Executive Assistant, preferably supporting C-level executives in the recruitment or related industry.
Strong background in project management and handling executive-level responsibilities.

Skills:

-Exceptional organizational and multitasking skills with the ability to prioritize effectively.
-Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other business management tools.
-Proficient in Gohighlevel and Notion.
-Excellent verbal and written communication skills, with attention to detail.
-Ability to maintain professionalism, confidentiality, and discretion at all times.
-Strong problem-solving skills and the ability to think proactively.
-Ability to work independently and collaborate in a team environment.
