JOB OVERVIEW

We are seeking a dedicated and detail-oriented Virtual Assistant (VA) to provide essential administrative and operational support for our physiotherapy clinic. The VA will play a key role in managing appointment scheduling, patient communication, and administrative tasks, helping the clinic deliver a seamless experience to patients. This role requires excellent communication skills, organizational abilities, and an understanding of healthcare operations.

Key Responsibilities:

Patient Management:
• Schedule and confirm patient appointments via phone, email, or online booking systems
• Assist with patient intake forms and data entry
• Maintain accurate and up-to-date patient records in the clinic's management system
• Respond to patient inquiries promptly and professionally

Administrative Support:
• Manage clinic calendars and coordinate schedules for practitioners
• Handle email correspondence and internal communications
• Assist with inventory tracking and ordering of clinic supplies
• Generate and maintain administrative reports as required

Billing and Payment Support:
• Verify patient insurance information if applicable
• Process online payments and send billing reminders
• Assist with preparing and submitting claims for reimbursement

Marketing and Communication:
• Help manage social media accounts by scheduling posts and tracking engagement
• Draft newsletters and patient communication materials
• Support marketing campaigns to promote clinic services

Operational Support:
• Maintain up-to-date clinic policies and procedures documentation
• Assist in tracking clinical statistics

What We’re Looking For:
* Excellent written and verbal communication skills
* Strong organizational and time management abilities
* Proficiency with clinic management software (Power Diary, Cliniko, or similar)
* Familiarity with scheduling and CRM tools
* Ability to handle confidential information with professionalism
* Tech-savvy with proficiency in Google Workspace or Microsoft Office
