JOB OVERVIEW

We are looking for a dedicated and detail-oriented Administrative and Customer Service Virtual Assistant to join our team. In this role, you will be responsible for managing customer phone calls and delivering exceptional service to our senior clients. This position requires patience, excellent listening skills, and superior English communication abilities to ensure a professional and empathetic client experience.

In addition to providing outstanding customer service, you will handle administrative responsibilities that require strong organizational skills and meticulous attention to detail.

This is a full-time position with U.S. Mountain Time business hours, 8AM to 5PM.


Job duties and responsibilities include the following:

1. Customer Service
-Handle incoming calls and emails as the primary point of contact.
-Schedule appointments, manage follow-ups, and resolve client inquiries professionally.
-Communicate clearly, patiently, and empathetically, especially with senior clients.
-Provide professional and courteous service while listening attentively to client needs.
-Escalate complex issues to the appropriate team member when necessary.
-Maintain a quiet work environment with minimal background noise and excellent audio quality during calls.

2. Administrative Support
-Maintain and update client records in the CRM system (AgencyBloc).
-Develop and refine Standard Operating Procedures (SOPs) for improved processes.
-Organize schedules, manage email inboxes, and coordinate calendars.
-Implement workflows and automated notifications in CRM systems to improve efficiency.
-Assist in managing customer interactions and keeping records up to date.

Qualifications:

-Strong verbal and written English communication skills.
-Prior experience in customer service and administrative roles.
-Familiarity with CRM systems, especially AgencyBloc, is an advantage.
-Exceptional organizational skills and attention to detail.
-Ability to work independently and adapt to changing priorities.
-Patience, empathy, and a client-focused mindset, especially when engaging with senior clients.
