Job Title: Executive Administrative Assistant to the President Location: Remote, work from home About Garbin GeoStructural Group: Garbin GeoStructural Group is a leading firm in geostructural engineering, dedicated to delivering innovative solutions and exceptional service. We are seeking a highly skilled Executive Administrative Assistant to support our President in daily operations and strategic initiatives. Key Responsibilities: Executive Support: - Manage and organize email communications, ensuring timely responses and prioritizing urgent matters. - Provide high-level administrative support to the President, including managing calendars, scheduling meetings, and handling travel arrangements. Advanced Excel Skills: - Create, manage, and analyze complex spreadsheets and reports using advanced Excel functions. - Assist with data analysis and presentation preparation for executive meetings. Attention to Detail: - Maintain meticulous attention to detail in all tasks, ensuring accuracy and consistency. - Proofread and edit documents, and reports, to maintain high standards. Document Management: - Organize and maintain project folders and documents online, ensuring easy accessibility and up-to-date records. - Implement efficient filing online systems and document control processes. Social Media and Communication: - Assist with social media posting and content creation to enhance the company's online presence. - Draft and distribute internal and external communications on behalf of the President. HR Duties: - Support HR functions, including onboarding new employees, maintaining employee records, and coordinating training sessions. - Assist with employee engagement initiatives and company events. Qualifications: - C2 level proficiency in English, with excellent written and verbal communication skills. - Proven experience as an executive administrative assistant or in a similar role, supporting senior leadership. - Advanced proficiency in Microsoft Excel - Exceptional organizational and multitasking abilities. - METICULOUS attention to detail and accuracy. - Experience with social media management and content creation. - Ability to handle confidential information with discretion and professionalism. - Strong interpersonal skills and a proactive, can-do attitude.
