JOB OVERVIEW

We’re looking for a detail-oriented, proactive, and professional Executive Assistant to support a U.S.-based executive recruiter. This is a part-time remote role (10 hours/week to start), with the opportunity to grow into a long-term position as trust is built and responsibilities increase.

You’ll be the right hand to our CEO, helping her stay organized, professional, and productive—while keeping operations and client communication running smoothly behind the scenes.

What You'll Be Doing:
-Reviewing resumes with guidance to identify qualified candidates
-Creating simple graphics and posting content on social media (primarily LinkedIn & Instagram)
-Creating and editing professional templates (resumes, proposals, intake forms, etc.)
-Filtering and organizing emails in the CEO’s inbox
-Responding to client emails with a professional, native-level English tone
-Scheduling meetings and sending calendar invites
-Creating and updating graphics in Canva (must be proficient!)
-Attending ZooUpgrade to see actual infoetings to take notes and summarize action items
-Confirming weekly appointments with clients
-Sending daily morning updates to the CEO, summarizing what’s on the calendar and what’s urgent

Bonus Tasks You Might Grow Into:
-Managing CRM or applicant tracking system (training provided)
-Conducting light research on companies or candidates
-Drafting follow-up emails after meetings
-Proofreading and formatting resumes or documents
-Monitoring LinkedIn messages and flagging important ones
-Organizing digital files in Google Drive
-Reminding CEO of client birthdays or key milestones
-Helping book occasional personal errands or travel plans

You’re a Great Fit If You:
-Are fluent in English (written and spoken) and write like a native speaker
Are extremely organized and detail-oriented
Have a quiet home working environment with strong internet
Take initiative and love making someone's life easier
Are comfortable using tools like Gmail, Google Calendar, Zoom, Canva, and Trello (or willing to learn)
Have experience supporting business owners, recruiters, or executives

Pay & Schedule:
-Rate: $5/hour USD
-Schedule: Flexible but must overlap 1–2 hours/day with U.S. Central Time (mornings preferred)
-Initial Hours: 10 hours/week with potential to increase as we grow together
-1099 contractor
