We are a fast-growing digital marketing hub based in Australia, looking for a highly skilled and detail-oriented bookkeeper to join our finance team. This role is crucial in maintaining financial accuracy, ensuring compliance, and optimising efficiency using Xero, Google Sheets, and Excel.

???? Role Overview
As our In-House Bookkeeper, you will:
? Manage financial transactions, invoicing, reconciliations, and reporting using Xero.
? Prepare and analyse financial reports on a weekly, monthly, and annual basis (P&L, Balance Sheet, Cash Flow).
? Generate daily financial summaries with key insights & recommendations.
? Create and manage quotes, draft invoices, and process payments via NAB (National Australia Bank).
? Monitor cash flow, track bank balances, and reconcile transactions daily.
? Set up new full-time employees in Australia and process contractor payments.
? Pay Australian and overseas contractors using WISE & Payoneer.
? Track tasks through ASANA to ensure seamless workflow and communication.

???? This is a part-time, remote role (20 hours per week) based in the Philippines – you will work closely with our Australian team to manage bookkeeping, payroll, and financial reporting.

???? Key Responsibilities
???? Financial Management & Record-Keeping
? Maintain accurate financial records, invoices, receipts, and ledgers using Xero.
? Process quotes, invoices, and payments through NAB (National Australia Bank).
? Reconcile bank transactions daily and ensure all accounts balance.
? Monitor and report daily cash flow, bank balances, and outstanding invoices.
? Use Dext for financial data processing and workflow efficiency.

???? Quoting, Invoicing & Payments
? Generate and send quotes to clients through Xero.
? Issue and track invoices, ensuring timely follow-ups for payments.
? Draft invoices for review before finalising payments.
? Manage billing cycles, ensuring all payments are recorded accurately.
? Process supplier payments and payroll transactions via NAB, WISE, and Payoneer.

???? Payroll & Contractor Payments
? Set up new full-time employees in Australia, including payroll registration, tax setup, and superannuation.
? Process contractor payments in Australia and overseas using NAB, WISE & Payoneer.
? Ensure compliance with Australian payroll laws and international payment regulations.

???? Australian Tax Compliance & Reporting
? Prepare and submit Business Activity Statements (BAS) to the ATO.
? Ensure accuracy in GST, PAYG, and superannuation calculations.
? Maintain compliance with ATO lodgement deadlines.
? Assist in completing compliance reports and tax submissions.

???? Financial Reporting & Analysis
? Prepare and analyse financial reports on a weekly, monthly, and annual basis, including:

Weekly cash flow & bank balance reports
Monthly Profit & Loss Statement (P&L), Balance Sheet, and Cash Flow Statement
Quarterly and annual tax compliance and financial health reports
Aged Receivables & Payables Reports
Expense Reports & Forecasting
? Provide daily financial summaries, including:
Key insights on cash flow, outstanding invoices, and upcoming payments
Recommendations for cost control, cash management, and process improvements
? Assist in financial modelling and budgeting using Google Sheets or Excel.
???? Task & Time Management
? Use ASANA to track financial tasks, deadlines, and responsibilities.
? Maintain fast response times via email & WhatsApp (within 1 hour during business hours).
? Prioritise and manage multiple bookkeeping tasks efficiently.

???? Administrative & Compliance Support
? Provide general finance administration support to the team.
? Maintain confidential financial records and ensure data security.
? Assist in reviewing financial processes for efficiency improvements.

? Work Schedule
? Part-Time (20 hours per week)
? Flexible work arrangement – hours spread evenly throughout the week
? Must be available for regular check-ins and communication during Australian business hours

???? Key Performance Indicators (KPIs)
???? Accuracy & Compliance – Maintain high-quality financial records with minimal revisions.
???? BAS Preparation & Lodgement – Ensure timely and accurate BAS submissions to the ATO.
???? Quoting & Invoicing – Ensure quotes and invoices are processed accurately and on time.
???? Payroll & Payments – Ensure on-time, accurate payments to employees and contractors via NAB, WISE & Payoneer.
???? Bank Reconciliations – Ensure daily reconciliations of bank transactions in Xero.
???? Cash Flow & Bank Balance Monitoring – Track and report daily, weekly, and monthly cash flow, bank balances, and upcoming financial obligations.
???? Financial Reporting – Deliver weekly, monthly, and annual financial reports with key insights and recommendations.
???? Financial Modelling & Forecasting – Provide accurate cash flow budgets and projections for decision-making.
???? Communication – Respond to queries within 1 hour during business hours.

? Skills & Requirements
? Xero Certification (preferred) with strong experience in bookkeeping.
? Proficiency in Google Sheets & Excel – Strong financial modelling & cash flow budgeting skills.
? Knowledge of Australian tax laws (GST, BAS, PAYG, and superannuation).
? Experience preparing and lodging BAS statements for Australian businesses.
? Experience processing quotes, invoices, and payments via NAB (National Australia Bank).
? Experience setting up new full-time employees in Australia.
? Experience processing contractor payments via NAB, WISE & Payoneer.
? Strong organisational skills & attention to detail.
? Ability to work independently, manage multiple tasks, and meet deadlines.
? Experience using ASANA for task management (preferred).
? Excellent communication skills – ability to collaborate remotely with an Australian team.
? Proficiency in data entry, financial reporting, and analytics.
