Virtual Executive Assistant—FounderiMotivat BV, Chairman, Motivat Companies
Founder of iMotivat BV is seeking a highly organized, tech-savvy, and proactive Virtual Executive Assistant to provide high-level administrative support as he leads the growth and strategic expansion of his young companies. The ideal candidate will play a critical role in managing daily operations, coordinating business activities, and ensuring seamless communication across multiple business ventures.
Scope of Work
The Virtual Executive Assistant will be responsible for a range of executive support tasks, including but not limited to:
Executive & Administrative Support
Manage the Founder's calendar, schedule meetings, and coordinate travel arrangements across multiple time zones.
Draft, edit, and proofread reports and presentations
Maintain and organize confidential documents, business contracts, and operational reports.
Act as a gatekeeper, prioritizing communications and ensuring efficient information flow.
Business & Operations Coordination
Assist in managing strategic initiatives across Motivat Group’s hospitality, tech, sustainability, and design ventures.
Support governance functions, including board meeting preparation, agenda setting, and follow-up on action items
Track KPIs, project timelines, and business development goals for the Chairman
Conduct internet research and summarize key insights to inform decision-making.
Technology & Digital Operations
Manage the Founder's digital presence, including
Set up and manage collaboration tools (e.g., Notion, Asana, Slack, Microsoft Teams, Google Workspace).
Stakeholder & Communication Management
Liaise with senior executives, investors, and business partners on behalf of the founder.
Draft and distribute internal memos, leadership updates, and official announcements.
Maintain professional communication with clients, officials, and strategic partners.
Personal & Lifestyle Management
Assist with personal scheduling, expense tracking, and travel logistics.
Oversee special activities related to philanthropy, mentorship, and community engagements.
Maintain a high level of discretion in handling personal and professional matters.
Required Skills & Qualifications
Executive Assistance Experience: 5+ years supporting executives, preferably in tech, finance, or hospitality sectors.
Project Management Skills: Ability to track multiple business initiatives and coordinate deliverables.
Tech-Savvy: Proficiency in Microsoft Office, Google Suite, Zoom, Notion, Trello, CRM tools. Experience with AI-powered scheduling assistants is a plus.
Communication & Writing Skills: Exceptional business writing,
Confidentiality & Discretion: Experience handling sensitive corporate and personal matters.
Strong Organizational Skills: Ability to manage priorities, deadlines, and competing demands.
Language (Preferred): Proficiency in English is a must
Industry Knowledge (Preferred): Background in IT, business, or real estate would be an asset.
Working Hours & Availability
Part-time (20-40 hours/week) with flexibility to work across multiple time zones (Africa, Europe, US).
Must be available for urgent tasks outside regular hours, including occasional weekends.
