Job Title: eCommerce Executive Assistant/Sales Assistant
Hours: 40 hours/week
Location: Remote (Must be comfortable working Eastern Time, M-F, with a 30-60 min lunch break)
About the Role
We are seeking a highly organized, proactive, and detail-oriented Sales Assistant / eCommerce Executive Assistant to support a key client. This role requires strong follow-up skills, responsiveness, and the ability to work independently while ensuring nothing falls through the cracks. The ideal candidate will be a trusted right-hand to the executive, capable of managing scheduling, CRM data entry, sales support, and customer inquiries with precision and urgency.
Key Responsibilities
1. Appointment setting & coordination
-Finding time on my calendar for me to speak with external parties and creating the calendar invite, including my Zoom link (for virtual meetings), and putting the right
-For in-person meetings, sending templated
2. Data entry / CRM management:
-Creating and updating Company records
-Creating and updating People records, and researching job titles and contact information as needed
-Creating Products and updating Price Book
-Uploading copies of Contracts to ERP
-Corresponding with CRM developers to resolve any issues (e.g. something not working)
-Quality check accuracy of Purchase Orders entered by sales operations (e.g. double check all qty and $ amounts)
3. SMB wholesale customer support / Faire
-Respond to wholesale inquiries - qualifying and disqualifying in accordance with a specific set of parameters
-Refer certain customers to Faire and refer certain customers to me based on expected value
-Troubleshoot any issues with the Faire platform that can affect orders
4. Other wholesale customer support / major accounts
-Respond to requests for sales & marketing materials
-Send out text-only
-Do research on industry events as requested and coordinate travel accommodations
-Do research on prospective or current accounts as requested and report findings (e.g. employee count, revenue, headquarters location, etc.)
5. Misc:
-Coordinate with other tea
-(Ideal - after trust is built) Answer calls placed to the corporate line, when sales extension is selected - currently only a few calls per week
Requirements:
-At least 3 years of experience as an Executive Assistant
-Comfortable with Google Sheets/Excel: Can use formulas, filters, and formatting for basic data tasks
-Familiar with these tools: Zoom, Loom, Slack, Gmail, Notion, Gorgias, Faire, LinkedIn, and custom CRM systems (or willing to learn)
