Job Description: Virtual Assistant for NDIS Mobile Allied Health Therapy Business

Position Overview
We are seeking a highly organised and proactive Virtual Assistant to join our NDIS mobile allied health therapy team. This role is ideal for someone with experience in NDIS services and/or Australian receptionist duties, as these skills will be a huge bonus.
The successful candidate will be responsible for calling new leads and appointment setting, scheduling appointments, and liaising with both clients and practitioners daily. You will be managing appointments through Nookal, ensuring that all schedules run smoothly and efficiently.
Key Responsibilities:
Appointment Setting:
-Contact new leads and convert them into clients by providing information about our allied health services.
- Schedule initial consultations with new clients and ensure proper documentation is in place.
Scheduling & Calendar Management:
- Use Nookal to schedule appointments for clients and allied health practitioners.
- Efficiently manage daily appointments, ensuring proper allocation of time for both practitioners and clients.
- Shuffle and update daily schedules to accommodate last-minute changes and cancellations.
Communication & Liaison:
- Maintain clear and consistent communication with clients, practitioners, and leads.
- Act as the main point of contact for clients and practitioners, ensuring all parties are well-informed and prepared for appointments.
- Provide reminders for upcoming appointments and follow-ups as needed.
Administrative Support:
- Assist with day-to-day administrative tasks as required, including managing client files, updating schedules, and handling inquiries.
- Ensure all documentation in Nookal is accurate and up to date.
Customer Service:
- Provide exceptional service to clients by answering questions, resolving issues, and providing support throughout their therapy journey.
- Ensure clients and practitioners are satisfied with the scheduling process and overall service delivery.
Skills and Experience:
- NDIS Experience:A strong understanding of the NDIS system, processes, and funding structures.
- Australian experience: Prior experience in a receptionist or administrative role, especially in the healthcare sector, is highly desirable.
- Organisational Skills: Ability to manage multiple tasks and schedules simultaneously with a high level of attention to detail.
- Communication: Excellent verbal and written communication skills, with a focus on customer service and client satisfaction.
- Tech-Savvy: Experience with Nookal (or similar practice management software) is preferred, though training can be provided.
- Problem-Solving: Ability to manage scheduling conflicts and adapt to last-minute changes quickly and efficiently.
