JOB OVERVIEW

We’re seeking a highly organized and proactive Executive Assistant to support the CEO and leadership team in managing day-to-day operations, client communications, scheduling, and administrative tasks. This role is essential in helping our agency run efficiently while allowing our CEO to focus on business growth and strategy.

Key Responsibilities:
• Calendar & Schedule Management: Manage and coordinate meetings, calls, and appointments for the CEO and key teaUpgrade to see actual infombers.
• Client & Lead Communication: Handle follow-ups, respond to emails, and assist with onboarding new clients.
• Project Coordination: Work closely with internal teams to ensure deadlines and deliverables are met.
• Administrative Support: Manage documents, reports, and internal systems like Upgrade to see actual info, Slack, and Google Drive.
• Content Organization: Maintain client content folders, ensure smooth content delivery, and assist with file management.
• Research & Reporting: Conduct market research, track client metrics, and generate reports as needed.
• Process Optimization: Assist in refining and improving agency workflows for efficiency.
• Personal Assistant Tasks (Optional): May assist with travel arrangements, event coordination, or other personal executive tasks.

Qualifications & Skills:
• Experience: 2+ years as an Executive Assistant, Project Manager, or similar role (preferably in marketing, media, or creative industries).
• Tech-Savvy: Comfortable with tools like Upgrade to see actual info, Google Suite, Slack, Calendly, and CRM systems.
• Excellent Communication: Strong written and verbal communication skills.
• Highly Organized: Ability to manage multiple tasks, prioritize efficiently, and meet deadlines.
• Problem-Solver: Takes initiative and finds solutions without constant oversight.
• Detail-Oriented: Strong attention to detail and accuracy.
• Confidentiality: Ability to handle sensitive business and client information with discretion.
