Executive Assistant & Customer Support Manager (Full-Time | Remote)

I am the CEO of two successful holistic businesses, a homeschooling mother of four, and a visionary entrepreneur scaling to $10M+. I have ZERO time for micromanaging—I need a sharp, proactive, and highly skilled EA to own this role and anticipate my needs.

WHAT YOU’LL BE RESPONSIBLE FOR
Executive Assistance (60%)
- Take my voice messages and turn them into emails, content scripts, SOPs, and documents
- Manage my inbox & calendar – Ensure every meeting, deadline, and follow-up is handled
- Schedule personal & professional appointments – From business meetings to massages
- Create, update & manage SOPs – Keep all business processes clear and documented
- Track and report key business KPIs – Keep me informed of critical metrics
- Project management & delegation – Assign, follow up, and ensure execution across teams
- Team communication – Act as my right hand, keeping my team aligned and efficient
- Support launch & funnel execution – Assist with digital product launches and campaigns

Customer Support & Operations (40%)
- Handle customer service with excellence – Ensure every customer feels valued and supported
- Manage customer onboarding & success – Ensure seamless client experiences
- Process refunds & orders efficiently – Handle Shopify & course platform admin
- Support affiliate & brand ambassador programs – Assist with partnerships and collaborations
- Troubleshoot tech issues for customers – Assist with logins, course access, and product questions

- Hyper-organized & detail-oriented – You love checklists, efficiency, and keeping things streamlined
- Proactive problem-solver – You don’t wait for instructions. You see an issue and fix it. You know the secret word is Honey
- A skilled communicator – Your written & spoken English is excellent, and you can communicate clearly
- Tech-savvy & resourceful – You can figure out new tools and software without needing step-by-step guidance
- Fast-paced & unshakable – You handle a high-energy work environment with confidence and calm
- Loyal & discreet – You handle confidential information with professionalism & trustworthiness

REQUIREMENTS:
- 2+ years experience as an EA, OBM, or high-level virtual assistant
- Fluent in English (spoken & written)
- Experience in customer support & client success
- Familiar with Asana, ClickUp, Airtable, Shopify, ConvertKit, or willing to learn
- Able to work during core U.S. business hours
