We are looking for a highly organized and detail-oriented Virtual Assistant to assist with HR administration, reporting, compliance, and operational tasks. The ideal candidate will have experience in mortgage broking systems, strong analytical skills, and the ability to work independently while managing multiple priorities in a fast-paced environment.
Refyne Loans is a rapidly growing mortgage brokerage based in Sydney, helping clients navigate the home loan process with expert guidance and industry-leading service. As we expand, we’re looking for a highly organized and detail-oriented Virtual Assistant (VA) to support our operations, HR functions, reporting, and client engagement efforts.
Key Responsibilities
HR & Payroll Administration
• Manage pay runs via Employment Hero and process payments through Wise.
• Assist with HR administration tasks, including onboarding and employee records.
Internal & Client Communication
• Write and distribute the monthly newsletter to keep clients informed.
• Coordinate and organize gifts for offshore teams and client settlement gifts.
Business Operations & Support
• Support Operations Manager with the following:
• Driving continuous improvement initiatives across the business.
• Updating and maintaining Standard Operating Procedures (SOPs).
• Daily reporting on analytics & tracking business metrics.
• Conducting compliance audit testing to ensure regulatory adherence.
• Keeping internal portals and cheat sheets up to date.
Mortgage Broking Support
• Experience using mortgage broking systems (e.g., ApplyOnline, AFG Broker Engine) is highly preferred.
• Assist brokers with administrative tasks to streamline loan processing and client interactions.
Who We’re Looking For
- Highly Organized: You can manage multiple tasks and maintain accuracy under pressure.
- Strong Attention to Detail: Ensuring compliance and tracking metrics with precision.
- Tech-Savvy: Comfortable using reporting tools, mortgage broking software, and HR platforms (i.e. excel).
- Excellent Communication Skills: Both written (for newsletters & reporting) and verbal.
- Self-Starter: Can work independently while meeting deadlines in a fast-paced environment.
- Previous Experience in Mortgage Broking or Financial Services is a strong advantage.
