We’re looking for a motivated individual to help us streamline operations, support our clients, and ensure smooth day-to-day activities as we scale.
Position Overview:
We’re seeking an Executive Assistant/Client Success Associate to support the owner and the business with a range of tasks. This is a part-time position (3-4 hours per day, 5-6 days per week) with the potential to transition to a full-time salaried role within 2-4 months. You'll play a key role in maintaining excellent client relationships and helping the business grow.
Key Responsibilities:
These are core responsibilities that you will be fully responsible for:
- Client Communication: Manage
- Phone System Management: Handle and organize our phone system.
- Scheduling: Coordinate job schedules and photographer availability.
- Client Training: Train clients to use our booking & delivery systems and marketing assets.
Secondary Responsibilities:
These responsibilities are currently performed by another tea
- Social Media Management: Engage with clients and create/manage social media posts for client engagement and brand promotion.
- Client Acquisition: Assist in reaching out to potential new clients through social media methods.
- Lead Generation: Use web research to help build client lead contact lists.
- Quality Control: Review and deliver photos and other media, ensuring high standards of quality.
- Retouch Requests: Handle photo retouching requests from clients throughout the day.
- Light Graphic Design: Assist with basic design tasks in Canva and Photoshop.
- Personal Tasks: Assist with scheduling, reservations, web research, and other ad hoc tasks.
- And More: Flexibility for various tasks as needed in a dynamic environment.
Required Skills and Qualifications:
- Excellent written and verbal English communication skills.
- Ability to work in the Pacific Time Zone during business hours.
- Friendly, professional, and customer-focused attitude.
- Highly organized with a passion for efficiency and smooth operations.
- Ability to use or learn and adapt quickly to new tools and systems (experience with tools like Google Calendar, Dropbox, Mailchimp,
- Flexible and adaptable – every day brings new challenges, and we need someone who can handle it with a positive attitude.
- Previous experience in a similar role is a plus, but not required.
