Senior Executive Virtual Assistant (Remote – Project Management, Operations, HR & Strategy)
We are seeking a highly experienced, senior-level Executive Virtual Assistant with a strong background in project management, operations, HR, and strategic execution. This is not an entry-level role—we need someone who is resourceful, independent, and a proactive problem-solver.
In this role, you will work closely with the CEOs of the company, managing high-level projects, ensuring seamless operations, and assisting with HR functions such as hiring, onboarding, and team coordination. You will also be responsible for setting up systems, generating reports (including financial reports), conducting market research, and handling administrative tasks. If you have a proven track record of taking verbal direction, creating structured action plans, and executing with precision and efficiency, we want to hear from you.
Key Responsibilities:
- Project & Operations Management – Oversee multiple projects, track progress, and drive initiatives to completion.
- Action Planning & Execution – Convert verbal instructions into structured plans with clear deliverables and deadlines.
- Systems Setup & Process Optimization – Establish and improve systems to enhance efficiency and productivity.
- HR & Hiring Support – Assist with recruiting, screening, hiring, onboarding, and managing remote teams.
- Report Generation – Create financial reports, operational reports, and performance summaries as needed.
- Market Research & Data Analysis – Conduct research to provide insights for business growth and strategy.
- Administrative & Executive Support – Handle high-level scheduling, communication, and document management.
- Problem-Solving & Resourcefulness – Research, troubleshoot, and find solutions independently.
- Time & Priority Management – Ensure tasks and projects are completed on time and without procrastination.
- Confidentiality & Discretion – Manage sensitive information with professionalism and integrity.
Required Qualifications:
- 7+ years of experience as an Executive Assistant, Project Manager, or in a similar senior-level role.
- Experience with HR processes, including recruitment, hiring, onboarding, and team management.
- Expertise in setting up systems, process improvement, and operational efficiency.
- Proven ability to take verbal instructions and execute independently, without micromanagement.
- Strong proficiency in Google Workspace, Microsoft Office, and project management tools (Asana, Trello, ClickUp, etc.).
- Experience in creating reports, including financial summaries, operational overviews, and market research reports.
- Highly proactive, detail-oriented, and results-driven—able to anticipate needs and act accordingly.
- Excellent written and verbal communication skills.
- Comfortable working in fast-paced, high-expectation environments.
Preferred Qualifications:
- Experience supporting C-suite executives, business owners, or entrepreneurs.
- Background in business operations, process improvement, or strategic planning.
- Familiarity with CRM, bookkeeping, or workflow automation tools is a plus.
