We’re looking for a rockstar Administrative Assistant who isn’t intimidated by back-to-back tasks, constant deadlines, and the occasional phone call that starts with, “Hey, I have a crazy question.” If you can keep up—and better yet, stay one step ahead—read on.

Key Responsibilities
Phone & Communication Support

Manage inbound and outbound calls, primarily through Upgrade to see actual info.
Handle client inquiries, appointments, and general communication with a professional (yet friendly) tone.
Promptly follow up on voicemails and messages.
Document Management

Download and organize client documents from multiple sources.
Save and maintain files in Google Drive with appropriate naming conventions and folder structures.
Use Google Sheets and Google Docs for data entry and document creation.
CRM & Team Collaboration

Keep our Nutshell CRM updated with client contact information, tasks, and notes.
Communicate effectively with teaUpgrade to see actual infombers via Slack—be prepared for a lively mix of serious work talk and occasional Upgrade to see actual infos.
Deadline Management & Accuracy

Prioritize and meet tight deadlines (and trust us, there are plenty).
Maintain an exceptional level of accuracy in all tasks—typos and missed details can lead to tax nightmares.
Daily Operations & Support

Provide admin assistance to multiple teaUpgrade to see actual infombers as needed.
Track daily and weekly tasks to ensure nothing slips through the cracks.
Expect a full pipeline of “to-do’s”—rarely, if ever, will there be downtime.
Requirements & Qualifications
Availability

Must be available every weekday.
Minimum of 6 working hours between 10 PM and 8 AM (we’ll coordinate specific shifts based on business needs).
Technical Skills

Proficiency in Upgrade to see actual info, Google Workspace (Drive, Docs, Sheets), Nutshell CRM, and Slack—or a demonstrated ability to learn these quickly.
Comfortable toggling between multiple software platforms with speed and accuracy.
Experience & Education

Proven experience in an administrative or virtual assistant role.
Basic knowledge or background in accounting/tax services is a major plus (we’re a tax firm, after all).
Strong English communication skills—written and verbal.
Attention to Detail & Confidentiality

Understanding the sensitivity of financial data—what you see here, stays here. We’re trusted with clients’ most confidential information.
Willingness to undergo background checks and sign a confidentiality agreement.
